PP Associates Ltd is seeking a highly skilled and experienced Group Executive Assistant to provide high-level administrative support to the CEO. This is a challenging and fast-paced role that requires a proactive approach, exceptional organizational skills, and the ability to maintain strict confidentiality.
Key Responsibilities- Calendar Management: Manage the CEO's schedule, including calendar management, coordinating meetings, and arranging travel itineraries.
- Liaison and Communication: Act as a liaison between the CEO and internal/external stakeholders, screening and handling communications, managing emails, and responding on behalf of the CEO where appropriate.
- Meeting Preparation: Prepare meeting materials, agendas, presentations, and minutes, ensuring accuracy and timely distribution.
- Relationship Building: Build and maintain effective relationships with key stakeholders, including board members, senior executives, customers, and external contacts.
- Representation: Act as a representative of the CEO in their absence, representing their interests and maintaining a professional and positive image both internally and externally.
- Communication Facilitation: Facilitate effective communication with collaboration across departments, ensuring information flow and alignment with organizational objectives.
- Project Coordination: Co-ordinate and oversee special projects, initiatives, and strategic priorities assigned by the CEO, working closely with relevant teams to ensure successful execution.
- Research and Updates: Conduct research, collect data, follow up on action items, and provide regular updates to the CEO and other stakeholders.
- Document Preparation: Draft, proofread, and edit correspondence, reports, presentations, and other documents to ensure clarity, accuracy, and adherence to the CEO's style and preferences.
- Information Management: Manage the flow of information into and out of the CEO's office, including disseminating internal communications from the CEO, managing incoming requests, and preparing outgoing communications.
- Industry Knowledge: Stay informed about industry trends, market developments, and relevant news to provide timely updates and insights to the CEO and Group executives.
- Calendar Management: Proactively develop and manage a calendar of internal communications activities for the CEO and Group executives.
- Confidentiality: Handle highly confidential and sensitive information with utmost discretion, always maintaining confidentiality and professional ethics.
- Compliance: Maintain an up-to-date understanding of EPG policies, practices, and industry regulations to ensure compliance and confidentiality.
- Discretion and Confidentiality: Ability to maintain discretion and confidentiality in handling sensitive information.
- Organizational Skills: Strong organizational and time management skills to manage multiple tasks and priorities.
- Proactivity: Self-starter with a proactive approach to managing the CEO's office and ensuring seamless coordination and efficient workflow.
- Communication Skills: Excellent interpersonal skills and the ability to communicate at all levels, both verbally and written.
- Decision-Making: Sound decision-making skills to ensure effective management of the CEO's office.
- Technical Skills: Good level of competence in Microsoft 365, specifically Excel, Word, PowerPoint, Outlook, and SharePoint.
