We are seeking a highly organized and detail-oriented administrative professional to support our Office Manager in the daily operations of our business. As an Administrative Assistant, you will play a vital role in ensuring the smooth running of our property management services.
Key Responsibilities:
- Provide administrative support to the Office Manager, including tasks related to property maintenance, tenant inquiries, and operations.
- Maintain accurate and up-to-date records and filing systems for properties and tenancies.
- Act as a liaison between tenants and the management team, handling day-to-day queries and concerns.
- Coordinate with contractors and obtain quotes for repairs and maintenance.
- Schedule and manage contractor diaries, ensuring timely completion of tasks and tracking expenses.
- Arrange safety certificates and handle new tenant Council Tax and Utilities accounts.
- Manage meter readings at the start of new tenancies and maintain records on excel.
- Produce and maintain Record of Conditions for ingoing tenants and dilapidation schedules for outgoing tenants.
- Liaise with tenants to arrange routine property inspections and maintain the inspection diary.
- Ensure the key cupboard and office environment are well-maintained.
Office Administration:
- Prepare, edit, and format documents, including contracts, property listings, and reports.
- Ensure all paperwork is completed accurately and filed in a timely manner.
- Create and update spreadsheets to track property information and tenant data.
- Handle general office duties, including opening mail and responding to correspondence.
Requirements:
- Proven experience as an administrative assistant or in a similar role.
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Good IT proficiency in MS Office (Word, Excel, Outlook) and basic database management.
- Strong attention to detail and accuracy.
- Ability to use initiative and manage time effectively.
