Job Summary

The position is part-time, covering maternity leave, with approximately hours per week.

An opportunity has arisen for a motivated, well-organized, and committed individual to join the Cardiology Administration and Secretarial Team at Gloucestershire Hospitals NHS Foundation Trust.

The job is in an extremely busy yet friendly team. The successful candidate will join a highly motivated and hardworking team based at the Trust.

Main Responsibilities

The post-holder will provide an efficient, confidential, and professional service to the medical staff and their supporting team. This will include audio transcription and general administrative support to enable the provision of patient care and specialty services.

Good communication with patients, relatives, general practitioners, and other hospital staff is essential to ensure a proficient, high-quality service for patients and clinicians.

The post-holder will be expected to work as part of the Cardiology team but also support the secretarial team as needed.

About the Role

The successful candidate will be responsible for:

  • Providing a comprehensive audio transcription and administrative service to the medical staff and their supporting team.
  • Undertaking routine office duties, including electronic note tracking, photocopying, filing of correspondence and results, and maintenance of records.
  • Managing the mail for the unit.
  • Providing cover for colleagues in their absence to maintain service levels.
  • Ensuring excellent communication is provided to patients, relatives, general practitioners, and other hospital staff to ensure a proficient, high-quality service for patients and clinicians.
  • Regularly informing the secretarial supervisor about progress and flagging up any issues, such as capacity or delays due to internal or external factors, difficult queries from patients, etc.
  • Supporting the achievement of Trust performance by ensuring administrative standards are met, typing times, test results passed to clinicians, and any potential 52-week breaches are escalated to the clinician, secretarial supervisor, or AGM/DGM to avoid breach.

Person Specification

Qualifications

Essential

  • GCSE Grade C or above in literacy and numeracy.
  • Proficient keyboard skills.
  • Computer literate.
  • Typewriting/word processing RSA level or equivalent practical experience.

Experience

Essential

  • AUDIO transcription experience.
  • Office experience.

Desirable

  • Previous medical/hospital/NHS experience.
  • Understanding and previous experience in medical terminology.

Knowledge/Skills

Essential

  • Good command and understanding of English, punctuation, and grammar.
  • Team worker.
  • Good communication and social skills.

Desirable

  • Knowledge of NHS systems.
