Key Responsibilities:
- First Point of Contact: Act as the primary point of contact for patients and external agencies, providing timely and effective responses to queries and complaints.
- Resource Management: Collaborate with managers to optimize resource utilization and identify areas for improvement, working together to find effective solutions.
- Reporting and Analysis: Provide weekly updates on clinic and theatre scheduling, utilization, and gaps, ensuring accurate and timely reporting.
- Administrative Support: Offer general administrative support to the Service Manager and Clinical Administrators, contributing to the efficient running of the service.
- Appointment Scheduling: Accurately interpret incoming appointment requests, assign them to the correct pathways, and disseminate information to Clinical Administrators.
- Clinic Management: Book new and follow-up appointments for outpatients and theatre, ensuring patients have a choice while adhering to clinical team requirements.
- Clinic Cancellations: Action clinic cancellations accordingly, taking responsibility for reinstating clinics and rebooking patients as necessary.
- Workload Management: Balance clinic workload and patient flow to maximize the number of patients seen during sessions, considering fluctuating DNA rates and cancellations.
About You:
- Customer Service: Demonstrate proven customer service skills, with a passion for delivering exceptional care.
- Administrative Skills: Showcase proven administrative skills, including the ability to follow processes and procedures.
- Technical Skills: Possess excellent computer skills, with proficiency in Microsoft Office products and the ability to learn new patient record systems.
