Regional Operations Coordinator

Position Overview: The Regional Operations Coordinator plays a vital role in assisting Field Services Managers, Project Managers, and the Branch Manager by overseeing and executing administrative functions within the designated regional area.
Key Responsibilities:
- Manage incoming customer inquiries and document any necessary work that requires scheduling.
- Assist the Field Service Manager (FSM) in adjusting schedules for Field Service Engineers (FSE) due to unexpected changes such as callouts or absences.
- Coordinate client appointments based on the schedule established by the FSM.
- Support the FSM in organizing follow-up or remedial work by reaching out to customers to arrange appointments.
- Transform all authorized quotes (New Works, Small Works, Service) into Work Orders (WO).
- Ensure all necessary actions are finalized before invoicing for completed work.
- Process closed work orders (NW, SW, and Callouts) and generate invoices for customers or the Finance Administrator as required.
- Assist FSMs, Project Managers, and Regional Operations Managers with the creation of purchase orders, including product requests in collaboration with the inventory team.
- Contact clients 30 days before payment deadlines to confirm there are no outstanding claims.
- Work closely with the Regional Operations Manager and Finance Team to follow up on overdue payments.
- Be prepared to undertake additional responsibilities to cover for the Field Service Manager when necessary.
- Deliver exceptional customer service when interacting with clients.
- Foster strong, professional relationships with customers, suppliers, and colleagues across various departments.

Desired Skills and Training:
- Completion of FIA courses.
- Participation in service technicians' communication training.
- FIA Fundamentals units 1 & 2.
- Knowledge of BS5839-1 standards.
