We are seeking a part-time Legal Executive Assistant to provide support to our Risk and Compliance division.
Your Responsibilities- Manage multiple intricate email accounts and busy schedules by proactively organizing time and priorities, demonstrating an understanding of individual and organizational goals.
- Handle highly sensitive and confidential information with the utmost discretion.
- Serve as an effective gatekeeper to the Director of Legal and Commercial Risk, focusing on forward planning and scheduling to anticipate needs and busy periods, aiming to resolve potential issues proactively.
- Possess an understanding of legal firm structures and hierarchies to facilitate appropriate prioritization.
- Assist in the production and modification of legal documents (including letters and presentations), showcasing a keen eye for detail and adherence to established styles.
- Organize and coordinate travel arrangements and expenses, including booking transportation and accommodations.
- Schedule and, when necessary, facilitate meetings and appointments, including reserving meeting spaces and setting up virtual conferences. Prepare necessary documents and agendas, attend meetings, and take minutes as required.
- Undertake additional tasks to meet business needs as they arise.
The ideal candidate will be a highly motivated, dedicated, and forward-thinking individual with excellent commercial awareness and communication abilities. This role necessitates:
- Experience in previous Executive Assistant roles, preferably managing multiple senior stakeholders and handling complex and confidential schedules and communications.
- Prior experience in a legal setting and familiarity with legal documentation is essential.
- Strong time management skills and meticulous attention to detail.
- Outstanding communication skills, both written and verbal.
- A confident self-starter capable of taking initiative, working proactively, anticipating needs, and managing multiple tasks in a dynamic environment.
- Exceptional organizational capabilities.
- Confidence in decision-making and task prioritization.
- Sensitive and diplomatic management of high-level stakeholders, maintaining confidentiality and handling sensitive information appropriately.
- Proficiency in MS Office applications (including document mark-up and version control), Teams, and SharePoint, along with familiarity with document management systems.
