Job Summary:

We are seeking a highly organized and detail-oriented Project Coordinator to join our team at Tjarks and Tjarks Design Group. As a Project Coordinator, you will be responsible for assisting Senior Account/Project Managers and Account Directors in all administration duties, ensuring the smooth running of projects.

Key Responsibilities:

  • Assist in the coordination of projects, ensuring timely completion and high-quality results.
  • Provide administrative support to the Client Services department, including organizing proofs, packshots, sample shootings, and couriers.
  • Assist in the preparation of invoices and ensure all projects are invoiced promptly and within company timelines.
  • Communicate with clients professionally, building client relationships and inspiring trust and confidence in the Company.
  • Liaise with the Studio Manager, Design and Artwork departments, giving adequate notice for jobs to be scheduled for production.
  • Learn to analyze, understand, question, and challenge client briefings.
  • Assist in writing briefings for internal design, photoshoot, and digital artwork projects.
  • Attend briefs to the design or artwork team on individual projects as required.
  • Assist in effectively managing the timing and execution of the internal design and artwork process as required.
  • Organize photoshoots, get quotations, book photographers and home economists, organize/source product samples, write photo briefings under guidance, etc.
  • Proof-read all designs and artworks you are assisting with, while learning to ensure brand consistency across the product range.
  • Learn to ensure that projects comply with all current client design and artwork guidelines.
  • Keep full track of all live projects you are assisting on and be able to give a full account of the status of each project at any given time.
  • Work closely with the Account Managers to enable you to manage client expectations and make sure that all deadlines are met.

Requirements:

  • At least 2 years' strong administration or project experience.
  • Fluency in German language skills.
  • Project management experience in the creative/branding industry is advantageous.
  • Advanced in Excel and managing spreadsheets is essential.
  • Experience in other MS Office packages (Outlook/Word).
  • Ability to balance and own your own workload.
  • Flexibility and ability to coordinate multiple projects in a fast-paced environment.
