Position Overview:
The role of a Despatch Agent requires a positive attitude, exceptional organizational skills, and a keen attention to detail. The successful candidate will oversee daily logistics operations, which include managing incoming and outgoing courier services, preparing and organizing documentation, and ensuring the efficient and timely execution of all tasks. This position demands strong multitasking capabilities and excellent communication skills to liaise effectively with various departments and external partners.
Key Responsibilities:
- Communication & Coordination: Maintain regular communication through emails and messaging platforms; coordinate with internal teams and external couriers to facilitate seamless operations.
- Document Management: Generate and print collection sheets, ensuring documentation is current; organize pick-up forms and binders according to daily schedules; manage foreign lodge documents, including those on the miscellaneous shelf; personally deliver client documents to embassies and notary services.
- Courier Management: Schedule and book daily courier services, including both local and international shipments; prioritize legal lodge documents for notary services and manage their courier arrangements; oversee foreign lodge documentation, including retrieval and payment processing.
- Round Preparation & Execution: Organize and categorize documents for scheduled rounds; conduct timely morning and afternoon delivery rounds; maintain accurate records for submitted documents, including pricing and submission dates.
- Return & Despatch Processing: Process returns with priority given to registered mail and other courier services; prepare despatch sheets for personal pick-up as necessary.
- Collection & Inventory Management: Manage daily collection schedules, including booking pick-ups for the following day; compile and reconcile daily receipts to ensure accuracy; verify that all lodge, collection, and dispatch sheets are cleared at day’s end.
- Reporting & End-of-Day Procedures: Distribute daily statistics reports to relevant stakeholders; process final deliveries before closing operations; secure all documents and valuables in a safe at the end of the day.
Qualifications:
- Prior experience in logistics, operations, or a related field.
- Strong organizational skills with meticulous attention to detail.
- Able to multitask and manage various priorities in a dynamic environment.
- Proficient in Microsoft Office Suite and other relevant software.
- Excellent written and verbal communication skills.
- Capable of working independently as well as collaboratively within a team.
- Possession of a valid Swedish driver's license.
