This position is part of our dedicated team.

We are seeking a Construction Project Support Coordinator to provide vital assistance in the administration of our project management team. Your role will involve delivering exceptional support to all stakeholders in a courteous and efficient manner.

The responsibilities you will undertake include (but are not limited to):

Administrative Assistance:

  • Support the team with daily administrative duties, such as document preparation, data entry, and organization of files.
  • Assist in managing the consultants' schedules, coordinating meetings, and arranging appointments to ensure effective time utilization.
  • Handle incoming communications, including phone calls and emails, responding promptly or redirecting as needed.

Project Management Support:

  • Assist in the documentation of projects and maintain precise records of project-related information.
  • Track project timelines and deliverables, notifying the team of any potential delays or concerns.

Contract Management:

  • Support the team in reviewing contracts, emphasizing key details, and ensuring adherence to relevant regulations.
  • Collaborate closely with consultants and legal advisors to facilitate the contract negotiation process.

Quality Assurance and Compliance:

  • Assist in the upkeep and enhancement of our quality management system to ensure compliance with industry standards.
  • Help implement and monitor adherence to health and safety regulations and other pertinent legal requirements.
  • Work with the team to conduct internal audits aimed at assessing and improving our quality and compliance procedures.

General Coordination:

  • Organize travel arrangements and accommodations for team members as required.
  • Prepare and compile reports, presentations, and other materials for both internal and external purposes.
  • Assist in gathering project information and preparing necessary documentation for health and safety compliance.

  • Proven experience as a Personal Assistant or Administrative Coordinator, preferably within the construction or related sectors.

  • Strong organizational and multitasking skills, capable of managing multiple priorities effectively.
  • Excellent communication abilities, both written and verbal.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • A proactive and flexible approach to problem-solving.
  • Attention to detail and a commitment to producing high-quality work.
  • An understanding of The Construction Design & Management Regulations 2015 (CDM Regulations) and their application.
