Event and Administration Assistant

The Events Administrative Assistant will provide administrative support to the Technical Events team, focusing on event planning, marketing, sales, and customer service.

Key Responsibilities
  • Liaise with third-party suppliers and clients to ensure seamless event execution.
  • Assist the booking team with updating event bookings in Kinetics (Kx) and ensure accurate billing.
  • Support technical management with file delivery processes, guaranteeing timely delivery of client event footage.
  • Review event programs with technical management to ensure accurate billing and coherence.
  • Coordinate staff bookings and scheduling, documenting invoices and monitoring payment processes.

Administrative Duties

  • Process purchase orders, ensuring accurate and timely billing.
  • Support Events Operations with administrative tasks to ensure smooth event execution.
  • Respond to general queries from internal and external sources, seeking guidance from colleagues when necessary.
  • Maintain stock of routine supplies and update marketing materials, including price lists and website information.

Additional Responsibilities

  • Monitor equipment and report any issues to the Technical Manager, ensuring minimal disruption to operations.
  • Optimize storage locations to maintain a high level of efficiency.
  • Participate in necessary training and undertake other administrative duties to support the Events & Catering team.
