Facilities Operations Manager – Soft Services

Our client, a reputable private banking institution in London, is on the lookout for a skilled Facilities Operations Manager to lead soft services and oversee hard services across various locations, including primary branches. The ideal candidate will possess substantial experience in managing teams, overseeing service contracts, and ensuring compliance with health and safety regulations.

Key Responsibilities:

  • Directly manage soft services while supervising hard services across multiple locations.
  • Report to the General Manager and lead a team of four, including conducting performance reviews and organizing work schedules.
  • Ensure adherence to health and safety standards, perform risk assessments, and coordinate staff training initiatives.
  • Oversee contracts related to cleaning, waste management, and pest control, including conducting audits and scheduling routine maintenance.
  • Manage the post room operations, supervise onsite archive storage, and ensure sufficient stationery supplies.
  • Serve as the secretary for the Health & Safety Council, coordinating meetings and maintaining accurate records.
  • Engage in project management tasks, including office refurbishments and contractor liaison, with a focus on budget management and forecasting.
  • Handle administrative responsibilities such as updating AutoCAD floor plans, managing departmental contractors, and reporting on key performance indicators.

Required Skills & Qualifications:

  • A minimum of 5 years of experience in Facilities Management with a strong commitment to the field.
  • In-depth knowledge of Health & Safety practices, with NEBOSH certification and DSE assessor expertise.
  • Exceptional attention to detail and strong customer service abilities.
  • Confidence in engaging with and presenting to various business sectors.
  • A proactive and positive work ethic, with the ability to manage multiple tasks effectively.
  • Proficiency in Microsoft Office applications and budget oversight.
  • Strong leadership and communication skills across all organizational levels.

Desirable Attributes:

  • Experience in managing facilities within historic buildings.
  • Proficiency in AutoCAD software.
  • Membership in the Institute of Workplace and Facilities Management (IWFM).
