The Service Coordinator is responsible for the day-to-day functions concerning the business, and is

required to perform many ad hoc office tasks as they assist in ensuring the smooth running of the Service aspect of the Company

Duties may be increased or altered in consultation with the Office and Finance Manager.

**Responsibilities**:
The main responsibilities are Diary, Job and Client management.

You will be responsible for ; all incoming work, ensuring all booking procedures are followed, parts ordered,invoicing

authorization and order numbers obtained; managing the engineers schedule and updating clients so that their

requirements are met as efficiently as possible; liaising with engineers and clients in a positive manner and adapting

the schedule when necessary to suit priorities.

As a front line representative of the Company, you should present a cheerful attitude and a respectable appearance.

General tasks
- Diary management - liaising with clients, taking job bookings, allocate to available engineers
- Chase and book scheduled and follow up work
- Quotes - issue and manage customer quotes (with supervision)
- Manage Job database - ensure all jobs are entered into the system
- Invoicing, including issue of relevant LOLER certification
- Manage LOLER and Weight Test databases
- Stock - order parts and any stock requirements
- Organise and send outgoing post;
- Organise and store paperwork, documents and computer-based information;
- Answer phones and transfer to the appropriate staff member
- Take and distribute messages fully and accurately
- Greet public and clients and direct them to the correct staff member
- Prepare outgoing mail for distribution
- Faxing, scanning and copying of documents
- Maintain office filing and storage systems
- Update and maintain databases such as mailing lists, contact lists and client information
- Retrieve information when requested
- Using a variety of software packages, such as Microsoft Word, Outlook, Power point, Excel, Access, etc., to

produce correspondence and documents and maintain records, spreadsheets and databases;
- Perform work related errands as requested such as going to the post office and bank
- Assist in maintaining a clean and tidy office area

**Salary**: From £10.50 per hour

Ability to commute/relocate:

- Caerphilly: reliably commute or plan to relocate before starting work (preferred)

**Experience**:

- Service Administration: 1 year (preferred)
