Our Bookkeeper

A Bookkeeper’s role is to oversee the company’s financial data and compliance by maintaining accurate books on accounts payable and receivable, payroll and daily financial entries and reconciliations. They perform daily accounting tasks such as monthly financial reporting, general ledger entries, and record payments and adjustments.

A bookkeeper needs to be organised, efficient and skilled at keeping track of the various types of spending by the company. With the introduction of making tax digital this essentially involves the ability to understand and input transactions on an accountancy software programme such as Xero, Sage, QuickBooks or similar.

There is a difference between a bookkeeper for a small company to one in a larger organisation as in many small entities the bookkeeper reports directly to the owner and produces management information.

In a larger company the bookkeeper will probably report to an accountant or finance manager and may deal with one element of an accounts department such as inputting of financial transactions.

Role Requirements: Tasks a bookkeeper would be expected to complete include:

- Management of and inputting of sales ledger, including producing statements of account and chasing debts.
- Chase timesheets for Viviad consultants and secure Client signatures through DocuSign
- Management of and inputting of purchase ledger, including reconciling statements of accounts received and questioning unusual, incorrect or suspicious purchase invoices.
- Management of bank accounts on the computer software and ensuring they match the actual bank accounts through reconciliation.
- Processing payments for the company.
- Preparing the VAT return or supplying the information to an external account to prepare the VAT return.
- Completing the payroll in others they will prepare the information for a third part payroll bureau, which is often the same as the external accountant.
- Liaise with the external accountant over preparation of the annual accounts.
- Managing the petty cash.
- Process other financial forms, such as expense forms, credit card forms or mileage.
- Prepare the cashflow forecast on the Xero accounting software
- Provide monthly management information to the owner. For many small organisations, the bookkeeping roll can be extended.

It is common the bookkeeper takes on the human resources role, especially where they must manage the staff folders for payroll reasons and they may take on other administrative roles, such as obtaining and maintaining the insurance policy.

What makes a great bookkeeper is their ability to communicate clearly, provide regular monthly financial information in the situation where no one else does and maintain good records which everyone can have faith in and rely upon.

Additional information about the role:

- Location is Greenock, Inverclyde.
You may need to travel with our Director to Client sites on occasion (we cover the expenses) as some of the work you will do is to support the accounting for our client's projects.
