MAIN DUTIES AND RESPONSIBILITIES

1. The purpose of the position

a. To provide leadership & management in all matters relating to the running of successful internal & external examinations.

b. To be the school’s MIS manager

c. Working alongside the Assistant Head with responsibility for data, plan and monitor data management systems, procedures and policies to ensure a consistent school-wide focus on students’ achievements, using data and benchmarks to measure and monitor progress which will promote and sustain school improvement.

2. Responsibilities specific to the role

Main tasks:

- To manage the MIS system and relevant data to meet the school’s requirements.
- To use relevant programmes to prepare strategic and operational data for analysis
- To support in-house training for staff in the use of systems, data management and performance data and produce training material to all staff where necessary.
- Support data reviews with Heads of Department, Head of Years, Pastoral Leaders and other relevant staff on results and data analysis
- Administer and organise all aspects of internal and external examinations in accordance with the regulations lay down by the awarding bodies.

Examinations Management:

- Responsibility for the administration and organisation of all aspects of internal and external examinations in accordance with the regulations set out by the awarding bodies.
- Responsibility for all exam materials providing safe custody of and organising examination stationery and materials, including question papers in accordance with regulations.
- Liaising with all staff regarding entries.
- Disseminating information, producing written guidelines, answering queries from staff, students, parents/carers.
- Meeting deadlines, prioritising workload and being methodical and organised to ensure all deadlines are met keeping costs to a minimum.
- To recruit and line manage external invigilators and provide information of school procedures.
- Processing all enquiries about results, malpractice, retakes, distribution of certificates.
- Keeping up to date with the latest procedures, regulations and requirements of the role.
- Ensuring attendance at appropriate training and meetings with the Awarding Bodies.
- Manage the receipt of examination results on results days, including the main August examination results days, in liaison with the Senior Leadership Team and to organise the distribution of results to students.

Data Management:

- To use the school’s MIS for the reliable, accurate and up to date records of student attainment data.
- To organise the collection and inputting of assessment data in line with the whole school assessment policy including the production of reports to parents.
- To populate and produce reports and analysis for SLT after each assessment point.
- To produce parental reports after each assessment point and distribute to relevant parties.
- Maintain and update the data analysis package after every assessment point for staff to access for their assessment analysis
- Administer and return school CENSUS data.

- Where needed, to provide data to inform target setting - Analysis of relevant external data sources.
- When needed, lead, and manage GL Assessments across all year groups ensuring all students complete the assessments, including new in year transfers/starters.
- Assist student services with maintenance of students’ academic records and personal records through the MIS and third party packages.
- Creation of reports, lists, statistics as requested across departments
- To administer the receipt, distribution, and analysis of examinations.

General:

- Manage own workload, regularly reviewing own practice, setting personal targets and taking responsibility for own personal development
- Prioritising and managing time, working under pressure and meeting deadlines
- Reflect on personal contribution to school achievements and take account of feedback from others.
- Contributing to the sharing of effective practice by working in partnership with other schools and third parties

Other Duties
- An awareness of school policies in relation to the position held
- Interacting appropriately and professionally with teachers, colleagues and parent/carers
- To provide administration support and attend school events such as Open Evenings and Transition events
- To carry out any other duties as reasonably directed by the Headteacher or his representative.
