Maintenance Scheduler

You will work within the Maintenance Team under the leadership of the Maintenance Manager.
You will provide administrative support to the Maintenance Manager to ensure that an effective service is delivered to customers across the Maintenance and Asset Management functions in line with Regulatory Standards.
You will deliver an efficient, effective, value for money service that takes full account of tenant and landlord rights and responsibilities and treat everyone with respect, openness, transparency and fairness.
**Key responsibilities**
You will be the first point of contact for all Maintenance enquiries received, responding consistently and fairly in line with SHAL policies and procedures to all enquiries and requests for advice and assistance.
You will contact tenants directly to make appointments, offer advice and verify information.
You will schedule work for the Maintenance Technicians and make appointments for the Maintenance Manager.
You will use a variety of software packages including the Telecetera Connect Scheduling System, the Pyramid Housing Management System and our Microsoft Office system.
You will monitor progress on all scheduled works for the Maintenance Team and sub-contractors and compile performance reports for the Maintenance Manager, highlighting any areas of concern where service to our tenants has fallen below the required standards or is not in line with SHAL policies and procedures.
You will schedule and administer Shal’s Planned Maintenance refurbishment programmes, and Void works, prepare and assemble the Health and Safety files for each project (Training will be provided if necessary) and deal with all Tenant enquiries relating to these works.
You will be required to manage Shal’s Fleet vehicles which will include arranging MOT’s, Repairs and Services ensuring that all are completed within the correct timescales, you will monitor mileage use and shuffle the vehicles amongst the Team to ensure that mileage use does not exceed the totals on Shal’s Lease agreements.
You will provide Fleet reports which will include monitoring of safe driving practices, and regular vehicle inspection reports.
You will be the first contact for repairs and maintenance complaints and ensure that all complaints are logged on our Housing System and passed to the agreed responsible person.
You will ensure that you treat all the data you obtain and process in line with SHAL policies on data protection.
You will fully comply with SHAL policies on equality, diversity and inclusion and Safeguarding of vulnerable adults and children.
You will behave in all circumstances with respect to tenants, colleagues, partners and members of the public and seek to reduce conflict and restore relationship and mutual trust and respect.
You will be open to feedback about your own performance and give feedback to others to ensure that SHAL is able to continually improve what we do and how we do it and to ensure that you, as the postholder, is able to grow professionally and personally.
You will be professional and positive in dress, manner, speech, and behaviors and in carrying out your duties and responsibilities and act as an ambassador for SHAL in all that we do.
**Person Specification**
Training on all aspects of the Job requirements will be given to the right person.
You will demonstrate a commitment to SHAL’s purpose, values and mission to provide homes for people who have been homeless or in housing need.
You will be able to operate, with appropriate training, the software packages we employ and to organise your own work with mínimal supervision once your training is complete.
You must be able to work in a pressured environment, to deadlines across a number of tasks, prioritizing your work and dealing with problems with a calm manner, never turning a crisis into a drama and always providing tenants with the reassurance that we understand and will work with them to respond appropriately to whatever problem they may have with their home.
You will be able to demonstrate some building/construction knowledge and the ability to inspect, survey and produce schedules of work.(Training will be provided if necessary)
You will have experience and knowledge of construction Health and Safety.
You will need experience of assembling Health and Safety files.
You must be able to treat all the information you receive as confidential and in line with our Data Protection policies and processes.
You must be able to build trusting, open, professional relationships with colleagues, contractors and tenants and treat everyone with consistency, respect, fairness and transparency.
You must be able to work with people who are highly emotional, angry or distressed to establish rapport and empathy and provide a practical response to their problems which is in line with SHAL policy but takes account of their individual circumstances.
