**ROLE**

Evergreen Foster Care is a highly specialised service that focuses on placing children from residential schools or children’s home into intensively supported, foster care placements. The aim of Evergreen Foster Care is to provide placements for children who would not be able to access standard foster care, but could, if adequately supported, make the transition to a family environment.

As children leaving residential care may often have a range of difficulties, just one child can be placed with a fostering family. This ensures that progress is not further complicated by the competing needs of equally complex or challenging children, and that the placement maintains stability for the child.

We understand how difficult it is to foster children who have social, emotional and/or mental health difficulties, and who may have aspects of autistic spectrum condition. Our foster carers receive a generous packages including regular respite, extensive training and direct support from a therapist.

Due to recent growth, an exciting opportunity has now arisen for a full-time Administrator to join our fostering family.

The Administrator will support the agency to fulfil the duties as listed below:

- Stationery Control - making sure that there is enough stationery and order stock as directed by the Business Manager.
- Answer the telephone and pass on calls / messages as necessary
- Reception duties such as greeting and looking after visitors and making drinks
- Typing and setting up documents such as letters and reports as directed by the Business Manager and Registered Manager
- Data entry - keeping computer records up to date; including carer and child data
- Distribute reports as directed by the Business Manager and Registered Manager
- Filing - including children, carers, staffing, financial and general admin
- Using office equipment such as printers, photocopiers and scanner to support the agency
- Prepare paperwork for new placements, carers and staff as directed by the Business Manager
- Making appointments
- Supporting the Business Manager and Registered Manager with quality assurance checks
- Supporting the Supervising Social Workers with administration tasks as part of the fostering assessment
- Arranging meetings and taking comprehensive minutes as required
- Signposting initial expressions of interest from potential foster carers to the recruitment staff
- Assist the Registered Manager in the organising of panel meetings
- Ensuring the office is kept clean and tidy and relevant displays are kept up to date
- Organising and facilitating virtual meetings using Zoom and Microsoft Teams
- Assisting the training team including the organisation of training facility bookings and refreshments
- Monitoring and quality assurance checks
- Ensure the agency’s policies and procedures are adhered to
- Ensure that all recruitment, appraisal, staff development, grievance, disciplinary and redundancy policies and procedures are adhered to
- Support the leadership team in staff recruitment
- Ensure all staff files are kept up to date and all necessary checks are completed and documented in accordance with regulations
- Maintaining employee central records
- Assisting the Business Manager with the organising of employee annual leave and on-call systems
- Plan, instigate and maintain records of fire practices and alarm tests

**General responsibilities and duties**
- Be a member of a team of professionals, providing therapeutic care to children
- Ensure that the dignity of all children in placement is upheld
- Work with team members to achieve a warm, familial, therapeutic atmosphere within the agency
- Be alert to signs of distress or abuse, and to ensure that carers and staff are kept informed
- Be sensitive to the needs of individual children, taking account of race, culture, language and religion, having regard for all protected characteristics
- Actively promote and celebrate diversity
- Work within the organisation’s ethos; promoting and working towards our shared vision
- Any other reasonable tasks deemed appropriate by the Business Manager

**Technical**
- Previous experience in a similar administrative role;
- An extensive knowledge of Microsoft Office (Outlook, Word, Excel and Powerpoint) is essential;
- Familiar with Box or other electronic storage systems such as Cloud;
- SAGE payroll or similar system;
- Knowledge of HR;
- The willingness to learn and undertake training.

**Skills and Attributes required**
- Professional telephone manner and meeting/dealing with visitors and children in an appropriate manner;
- Team working is essential, together with a “hands on” approach, as well as the ability to work on your own initiative;
- Attention to detail to achieve and maintain excellent standards of delivery of all work carried out
- Excellent organisational skills an
