An exciting opportunity has arisen for a permanent Receptionist/Typist in the Suite 17 Department at Singleton Hospital. Position is for 37 hours.

The post holder will be responsible for a comprehensive, confidential and efficient reception/secretarial service to the Department.

We are looking for an enthusiastic individual with excellent communication and interpersonal skills, as they will be liaising with a wide variety of personnel at all levels both internal and external to the Health Board and from numerous external organisations.

We are seeking an individual who can manage the day to day running of the office/reception area, their workload, use their own initiative and who is able to cope with tight and multiple deadlines, in a constant changing environment.

Act as a receptionist for patients attending the unit ensuring patients, visitors and colleagues are with a friendly and helpful manner.

Provide typing and administration support to Clinical Nurse Specialists including diary management, typing of clinic letters and clinic proformas.

To undertake the faxing, photocopying, posting and distribution of patients letters.

Dealing with enquiries from patients and staff.

To retrieve patients’ notes from the Main Library source or other department for reports or further action, ensuring efficient case note tracking policy is adhered to.

Deal with telephone queries from patients, colleagues and allied organisations in a professional, empathy and understanding manner considering at all times patient confidentiality and issues relating to the Data Protection and Freedom of Information Acts.

To carry out routine and patient filing, ensuring that the patients’ notes are up to date and any correspondence and tests results are filed on a daily basis.

To generate and produce on the word processor or in writing, standard form for use within the department.

To sort, distribute and ensure that all mail is sent to the correct locations daily. Action any mail as appropriate.

To maintain a thorough working knowledge of the computer software packages utilised in the management of patients.

Ensure that any anomalies, uncertainties or issues, which may affect the provision of the service, are referred to the Line Manager.

To be responsible for the day-to day organisation and management of their workload, planning and prioritising to ensure the smooth running of the office on a daily basis.
