**Personal Assistant to the CEO. **I am recruiting a PA to support the Chief Executive Officer of Citywide Financial Partners, a leading Financial Planning firm based in Leatherhead, Surrey (KT22). The successful Personal Assistant will have the diligence and skills required to make a significant contribution to, and become a highly valued team member of, this small, aspirational and client focused financial planning firm.

Personal Assistant (PA), **Responsibilities**:

- Diary management to include scheduling client and other professional meetings and calls; internal meetings; and personal meetings and appointments.
- Booking appointments for the other Financial Planners.
- Dealing with regular client correspondence and calls.
- Preparing client letters.
- Making travel and accommodation arrangements.
- Coordinating memberships and client events.
- Ordering and sending client cards and gifts.
- Recording all communications on CRM system.
- Tracking and preparing claims for the Director’s credit card and cash expenses.
- Transcription of meeting minutes.
- Occasional attendance at client meetings.
- Some personal support e.g. car servicing, family presents and holiday bookings.
- Assisting with day-to-day office administration.

Personal Assistant (PA), **Skills and Experience**:

- Significant PA and professional administration experience, ideally gained in a professional services environment.
- Self-motivated and highly proactive with excellent organisational and time management skills and the ability to prioritise and respond efficiently to multiple requests.
- Calm under pressure and energised by a varied and busy working day.
- Exceptional attention to detail, both in the production of documentation and record keeping.
- Excellent communication skills, in writing, on the phone and face to face, with the confidence to communicate effectively at all levels.
- A professional manner and a positive attitude, with the ability to work well in a team and independently
- Intelligent, highly numerate and IT literate (MS Office projects, CRM systems etc.), confident with embracing new technology
- Preferable but not essential - experience in audio dictation.
