**Your new role**

- To ensure the provision of the highest quality administrative support throughout the full academic cycle, from recruitment of students to the completion of their qualification, through the day to day supervision of the Registry and Student Services teamfocused on delivery of quality student administration and excellent customer service to a School. This will include deputising for the Registry and Student Services Manager when appropriate.
- To ensure accurate recording and data integrity of all student and programme records within the School in accordance with regulations. This will include the effective management of Assessment Boards, including adherence to academic regulations and procedures,and the co-ordination of administrative support to the assessment process.
- Participate in School committees, team meetings and working groups as appropriate, and co-ordinate arrangements for servicing meetings and working groups.
- Assist the Registry Manager in reviewing all relevant procedures and systems with the team and manager; identify improvements and simplify processes and decision making.
- Actively seek input from a diverse range of people to achieve service improvements.
- Support the Registry Manager in the management of student casework and be responsible for taking decisions on complex cases.
- Coordinate the team schedule, meetings and staff rotas,
- Oversee the accurate processing of student assessment records to inform Boards of Examiners activity for each programme, including ensuring adherence to assessment procedures and deadlines. Assisting with preparing papers for the Exam Board and Mitigatingcircumstances panel.
- Assist with the provision of student records for statutory deadlines e.g. HESA. Ensure that changes are made to student records in a timely manner e.g. withdrawals, interruptions and changes to modules.
- Oversee the admission and registration of students. As well as supporting the onboarding and induction process for students of the School.
- Provide support and advice to individual team members on registry and student services functions and deal with basic staffing matters.
- Ensure effective communication and liaison with Programme directors and other key people such as Institute Managers to ensure adherence to quality standards.
- Liaise with the Deans office and central University in providing accurate ceremonies lists, pass lists and student data to ensure (a) the smooth running of the Graduation ceremony, and (b) timely release of Diploma Supplements and Degree Certificates.
- Triage the inbox and enquiry management system across the registry team.
- Maintain the web and intranet pages of the registry and student services department and other published information.
- Supporting communications for staff and students, and gathering information/consulting with Institute managers

**What you'll need to succeed**
Essential:

- Experience of supervising and coordinating the work of a team, allocating tasks, monitoring performance, and providing feedback.
- Planning, organising and delivering administrative workload, systems and processes within a defined area of work.
- Experience of working in the Higher Education Sector in a registry or student services environment.
- Experience of interpreting complex policies and regulations and advising senior academics, committees and boards to inform decisions based on these guidelines.
- Experience of coordinating a variety of administrative processes.
- Experience of using SITS client and eVision.

Desirable:

- Delivering training in aspects of process.
- Drafting policies and procedures.

TECHNICAL KNOWLEDGE & SKILLS
Essential:

- Understanding of the functions and purpose of an academic registry
- Excellent analytical skills, with close attention to detail and ability to work accurately.
- Excellent interpersonal and communicate skills, both written and spoken and the ability to communicate effectively at all levels.
- IT literacy and thorough knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) and other online communications channels (Zoom)
- Good personal organisation and time management skills with the ability to organise and get the best out of others
- Good numeracy with a proven ability to work with data
- Ability to manage competing demands and meet deadlines in a well-structured manner
- Proactive and flexible with the ability to creatively solve problems
- Skilled at handling sensitive issues with tact and discretion
- Ability to build and maintain relationships with a range of stakeholders at all levels
