The Facilities Team is looking to recruit an Interior Design, Furniture and Equipment Assistant to work within the wider Estates Office in the implementation of new processes and systems linked with furniture re-use and external donations.
Reporting to the IDFE Manager the IDFE Assistant will undertake a range of duties including the creation and maintenance of inventories, generating reports and condition surveys, matching furniture requirements to existing stock items, and supporting in process evaluation and the development of necessary revisions to ensure continued success.

- Knowledge of contract furnishings and experience of using hand tools to carry out basic furniture maintenance and repairs.
- Experience of stock and inventory management.
- The ability of working without supervision, to tight timescales and deadlines.
- Outstanding customer service skills.
- Good knowledge of sustainable practices and the ability to articulate their benefits.
- Occasional use of hand tools for undertaking minor repairs
- Flexibility in hours worked, for example occasional earlier starts or later finishes, occasional weekends, all with notice.

**JOB PURPOSE**

To assist the Interior Design, Furniture & Equipment (IDFE) Team in the provision of first-class, sustainable and inclusive interior spaces. The role will primarily support the implementation of new processes and systems linked with furniture re-use and external donations, including the creation and maintenance of inventories, generating reports and condition surveys, matching furniture requirements to existing stock items, and supporting in process evaluation and the development of necessary revisions to ensure continued success. The role will also support the Assistant IDFE Officers in the delivery of the day-to-day IDFE services.

**DUTIES & RESPONSIBILITIES**

**1. Stock Management**

Maintaining an accurate inventory of furniture stock in IDFE stores and ad hoc locations. Providing monthly and ad hoc reports for the IDFE Manager on re-use levels.

**2. Stores Management**

Overseeing items entering and leaving Stores, including checking the quality of items entering Stores and ensuring spaces are kept well organised, safe and that risk assessments are adhered to.

Conducting basic maintenance of furniture items entering and leaving Stores where necessary.

Requesting Portering and external Removalist services when needed, and directing their work when they attend the Stores to take items into or out of Stores.

**3. Condition Surveys**

Undertaking furniture condition surveys and reporting findings via updating databases for the IDFE Team to assess and support refurbishment planning.

**4. Website Management**

Keeping the WarwickSwap web pages up to date to ensure stock items are uploaded to maintain live stock levels. Managing the delivery of items to recipients via the internal Portering service.

**5. Furniture re-use programme**

Overseeing and supporting the implementation of the processes for furniture re-use at the University, which includes reviewing and suggesting relevant changes, and promoting the benefits of furniture re-use to key stakeholders in Estates and across the University.

6. Supporting the IDFE Team by identifying suitable items to meet live project requirements.

7. Supporting the Assistant IDFE Officers in the delivery of the day-to-day IDFE Service, including removal projects, blinds and curtain requirements and carpet requirements.

8. Supporting with the on-boarding of new donation partners and the subsequent donation logistics.

9. Any other duties required in-keeping with the level of the post.
