Leisure are currently looking for an P2P / Procure to Pay Administrator to join
our Central Procurement function. This function has the overall responsibility of
sourcing goods and services for all our locations at competitive prices and in
a timely manner.
Ensuring
smooth operations, our P2P Administrators are key to facilitating our national
Teams’ purchasing experience through use of Bourne Leisure’s branded instance
of COUPA, ‘iBUY’.
As
a P2P Administrator, you will be responsible for centralised technical liaison
to our external suppliers; supplier catalogue management; freeform ordering and
management; associated catalogue or product changes; system troubleshooting;
purchasing advice and support to Brands.
This
is a full time, 6 month fixed term contract & you will be expected to work from our head office in Hemel
Hempstead 3 x per week with the remaining time spent working from home.,
**Your Opportunity / Responsibilities**:
- Ensure accurate data management of our supplier core catalogues aligned to
ordering schedules.
- Instruct on loadfile formats; coordinate receipt; audit and QC of catalogue
mandatory fields; liaise/advise Category Mgr (Procurement and in-Brand)
accordingly; timely corrections applied; uploading and data validation.
- Manual creation of catalogue questionnaires (where approved/required).
- Timely delisting of supplier aged catalogues, including system QC.
- Liaise/coordinate with F&B Systems Administrator in respect of catalogue
additions, delists and amendments aligning Starchef, EPOS and ZONAL.
- Maintaining up-to-date catalogue history audit documentation for operational
continuity.
- Review and maintain the validity of underpinned contracts.
- Freeform request management (OPENING), including documenting requests for
reporting; coordinating Category Mgr approval; manual configuration of supplier
settings.**Freeform request management (CLOSING)**: manual configuration of supplier
settings further to SLA.
- Monitoring of PO failures requiring troubleshooting and manual
assistance/’push’.
- Technical supplier on-boarding assistance, including manual supplier linking to
CSP (Coupa Supplier Network); issuing logins; circulating instructions, Terms
& Conditions and User Guides.
- Ensure all externally facing supplier documentation is reviewed periodically
(following upgrade windows) and update accordingly.
- Quarterly supplier access reporting - assessment and review for deactivation.
- Maintain active Supplier Accounts further to BAU data cleanse activities.
- Supplier Account information updates maintained, coordinating with Accounts
Payable according to integration schedule.
- Brand issues, post upgrade errors, supplier queries etc).
- Collaborate with Senior Data Manager, Contract & Supplier Administrator,
F&B Systems Administrator, Demand & Data Analyst to review system
reporting, implementing/recommending workflow and system fixes, update working
practice and knowledge sharing.
- Collaborate with Supply Chain with respect to implementation/configuration of
order window schedules.
- Keep abreast COUPA updates and know-how, via the COUPA Success Portal.

- Basic working knowledge in the use of Excel and databases.
**Desirable, but not Essential**:
- Working knowledge of COUPA.
- Supplier matter management.
- Understanding of DREAM/Unit 4 advantageous
