**THIS POST IS PART-TIME (28 HOURS PER WEEK), Friday - Monday.**

**Job Summary**:

- To provide a customer-focused, efficient and effective planning business administrative and support for the Enablement Care Team.
- To provide a responsive initial point of contact for customers and staff, and receive incoming referrals via the adult social care electronic system.
- Once the service has accepted a referral, check information for accuracy to ensure that Enablement Officers are allocated to the required client visits with clear goals to achieve.
- To be responsible for allocating, planning and revising the Enablement Officers work schedules, and ensuring accurate information is recorded on Roster and local electronic systems.
- To be responsible for ensuring enablement care provision is effectively rostered, making the maximum use of contract hours, and ensuring service users receive a consistent and timely service.
- To check the timesheets of Enablement Officers to ensure accurate records are reported for payment via Oracle.
- To support the accuracy, maintenance, and development of data and information systems and reports as directed by the Business Lead.
- To assist the Business lead to ensure there are clear service procedures in place.
- To provide effective and flexible business support to deliver the Enablement Service.
- To be part of providing a planning function for the Enablement service 7 days a week, which will include evening and weekend working.

**Key Duties/Accountabilities**:

- Respond to customers and staff who contact the service and ensure they receive a courteous and responsive reply.
- Ensure all new referrals to the Enablement Care Team are recorded and processed using computerised data systems. Ensure these systems are updated regularly. Create clients files and other documentation as required.
- Plan, co-ordinate and deploy Enablement Officers in an effective method, making best use of resources and minimising non-productive hours. Liaise with Enablement Officers regularly to ensure they are appropriately and efficiently allocated in accordance with planned rotas and availability.
- Ensure all relevant information regarding changes to service provision and service user’s personal circumstances are accurately recorded and Enablement staff are promptly notified of these changes. This will include weekly updates arising from changes to the enablement plan.
- Ensure the home care roster is regularly data cleansed to ensure accurate information is available for a safe service deliv
- Ensure enablement plans are updated on the client data system following multidisciplinary reviews, or as directed by the Therapist, Social Worker or Fieldwork Team Managers. Ensure these are communicated to the Enablement Officers.
- Maintain, and develop, as required, an efficient and accurate manual and electronic filing system for financial and performance information e.g. budget coding, e procurement, Journal transfers, mobile phone bills etc.
- Assist the Business Lead to ensure there are clear and robust monitoring mechanisms in place for the service
- Assist the Fieldwork Supervisors to arrange relevant staff training and development for team members ensuring mandatory courses are completed within timescales. Monitor attendance and update relevant local electronic databases.
- Be responsible for purchasing and monitoring of office supplies and Personal Protective Equipment, ensuring accurate records are maintained and kept up to date at all times. Receive deliveries, check goods received against purchase order forms ensuring the safe and secure storage of items.
- Be aware of and comply with policies and procedures relating to safeguarding, adult protection, health, safety and security, confidentiality and data protection (reporting all concerns to an appropriate person)
- To be part of a rota system which will include evenings and weekends to provide the above functions.

**Essential Experience Required**:

- Of communicating and dealing with a wide range of people sensitively and effectively, e.g. service users, carers and professionals.
- Of planning, monitoring and accurately reporting on work rosters and time sheets in a domiciliary care setting using computer systems e.g. Staffplan
- Of providing effective administrative support to Managers and colleagues including maintaining accurate records of sickness, absence, annual leave etc. and creating and maintaining local financial and information systems.
Of managing competing priorities to achieve work targets within set time scales.
- Detailed knowledge of using management Information systems and ICT software packages used in a domiciliary care environment e.g. absence reporting systems, Microsoft Office and work rostering software such as Staffplan.
- Good working knowledge of administrative systems and processes
- Understanding of, and a commitment to, the reablement ethos.
