As a valued member of a vibrant, fun and dynamic team, you will be responsible for assisting in the project administration, procurement, delivery and general function of Cotterill Contractors and its sister company Cotterill Environmental. You will need to be a fast learner with good attention to detail and excellent communication skills. We want you to enjoy working with us and will invest in training to develop you in this role.

**Overall purpose of this position**

“To assist in the project administration, procurement, delivery and general function of Cotterill Contractors”

**Objectives & Goals**
- To achieve 100% customer satisfaction
- To capture all information and ensure it is distributed accordingly.
- To gather and present requested information
- Maintain effective and up-to-the-minute recorded communication between all stakeholders (client, site, suppliers, Contractors Director)

**Main responsibilities**
- To answer and capture information from incoming calls for the Contractors and Environmental businesses
- Use templates to create quotations and service agreements to send to customers
- Send service reports to customers
- Raise invoices and allocate them to the accounts department
- Scheduling of the service engineer’s calendars
- To order and keep track of stock
- To help generate new leads for the Contractors and Environmental businesses

**Other associated tasks**
- Adding new leads to the project management software system (Procore)
- Building up new job folders within the Google Drive
- Completing general account forms
- Quotation follow ups
- Approve incoming invoices and allocate costs to relevant project
- Procurement and ordering of materials and hire equipment
- Liaising with all areas of the business.
- To be aware of and follow all company wide policies and procedures set out in our handbook and intranet site
- To “raise your hand” and flag up any concerns you have about your role and workload
- Complete a report of your KPIs and present this on a monthly basis to your manager

Contractors Project Coordinator

**Qualifications required**

Minimum grade 5/C GCSE in Maths and English

Driving licence preferred due to rural office location

**Skills & experience**
- Excellent communication skills
- Good software and computer skills
- Confident telephone manner
- Highly organised with excellent attention to detail
- Flexible
- Have a proactive approach
- Able to follow processes and work independently

**Working under pressure**

This role is fast paced and very dynamic. There will be deadlines to meet, some days more than others and a critical attribute is to be able to take this in your stride and deal with it cool headedly and objectively. Things can change unexpectedly and beyond our control. It is important to expect this and be “ready” so that you can cope and work under pressure.
