Job Summary:
We are seeking a dedicated and enthusiastic Event ad Learning Assistant to join our team. As an Event Assistant, you will play a key role in supporting the planning and execution of various events. This is a paid position that offers an opportunity to gain valuable experience in event management.

**Duties**:
1. To support the Equality Events and Learning Manager to deliver of an annual calendar of equalities events to engage staff and residents with our work to Challenge Inequality and make Islington fairer.

2. To support the Equality Events and Learning Manager and colleagues in the communications, equalities and voluntary community sector teams as the develop event outlines - researching best practice and bringing creativity and ideas to the table.

3. To help co-ordinate all aspects of event management, ensuring attention to detail and value for money at every stage from taking the brief through to shaping agendas, booking venues and suppliers, liaising with speakers, managing invitations/ticketing, ensuring smooth running on the day, troubleshooting problems and overseeing post event evaluation.

4. To work collaboratively with a range of stakeholders including staff, residents and community/voluntary sector groups, booking and helping to co-ordinate meetings and

discussions as appropriate, including taking minutes and following up on actions.

5. To build positive and productive relationships with a range of partner organisations, internal teams, venues, speakers and external suppliers, ensuring the council has access to the right tools, skills and expertise to deliver high quality events, while working within the council’s procurement framework.

6. To quality assure events, making sure requirements are met, including liaising with suppliers as required and ensuring physical venues are set up correctly for events, that equipment and refreshments are organised and appropriate.

7. To help make best use of digital platforms (such as Zoom and Teams) to deliver virtual events, advising on how to create and deliver events that are personal, engaging and where appropriate, interactive.

8. To at all times ensure that both in person and virtual events are fully accessible and that person or group is excluded from fully participating.

9. To work closely with communications colleagues, helping to shape communications activity and campaigns to promote particular events to a wider range of target audiences.

10. To take a personal interest in the council’s work to Challenge Inequality, demonstrating understanding and knowledge about the issues and challenges faced by different people and groups.

11. To support the Equality Events and Learning Manager in developing the wider programme of learning and culture change within the Council in adopting the Challenging Inequality values.

12. To help ensure the safe, effective and timely management of large complex events, including carrying out the relevant briefings, checklists and reports; being a point of contact for staff and suppliers during the event; responding to and dealing promptly with incidents; working with stakeholders to ensure events run on time; ensuring relevant licensing laws are adhered to; being responsible for evacuation procedures in the event of an emergency; liaising with suppliers and other staff to ensure high standards of work and professionalism at all times.

13. To help manage the events budget, including making sure invoices are paid on time.

14. To help raise sponsorship and advertising income to cover the cost of events.

15. To develop and maintain positive and productive working relationships with a range of colleagues across the council and external partners, including Digital Services, facilities, communications, the Assembly Hall, the Chief Executive’s office and so on.

16. The postholder may be required to work some weekends and evenings.

17. To undertake other duties commensurate to the grade of the post.

18. To contribute to the reputation and positioning of the Council, both in a personal capacity and as part of a wider team.

**Job Type**: Temporary contract
Contract length: 3 months

**Salary**: £20.59 per hour
