**Property Surveying Administrator**

**Role Overview**
Do you have experience working in a commercial property company? Do you have knowledge or experience of a range of property activities, including general practise surveying?

Working in the Asset Management function of Places for London (Transport for London’s wholly owned property subsidiary company), you will support our team of qualified surveyors, finance, and legal teams to ensure income and expenditure is accounted for correctly for their respective portfolio.

You will be part of a specialist Property Management team who delivers property services to a designated group of properties within our commercial property portfolio for the purpose of maintaining and enhancing TfL’s income.

In addition to supporting the team, you will be responsible to administration and management of several legal agreements, licences.

The role requires a keen eye for detail and data management for a high volume of agreements and ancillary contracts that are important to manage the wider portfolio and support delivery of asset management of the commercial as well as TfL’s operational property estate.

**Key Accountabilities**
1. Support with delivery of all day-to-day Property Management services including.
- Lease renewals, rent reviews, lease variations, dilapidation claims and other contractual and statutory processes for residential and commercial property
- Application of appropriate and timely property management techniques, methodologies, and processes, as agreed within TFL and legal protocol”

- Inspection of tenant premises
- General Estate Management matters with property and facility team

2. To ensure that the allocated portfolio is managed in accordance with relevant systems and the current range of Property Management policies
3. Ensure that key issues are reported to the Senior Property Surveyor
4. Coordinate reporting of Property Management performance the Senior Property Surveyor
5. Manage and liaise with credit control in respect of receipt of rents, ensuring rents are collected
6. Undertake a thorough data maintenance for the allocated portfolio of licences and other property agreements.
7. Negotiations in respect of rent reviews, renewal of agreements and other matters associated with lease agreements with tenants. Seek out advice from the Senior Property surveyor on more complex matters or those outside the sphere of experience.
7. Be the primary point of contact with customer tenants and advise on property matters, identifying issues and possible solutions to meet tenant requirements in a timely and effective manner.
8. Ensure that all commercial accountable transactions, recharges, and other services are provided in a timely, accurate and effective manner in accordance with contractual obligations, data management and service level agreements.

**Skills, Knowledge & Experience**
**Skills**
- Demonstrate the ability to work on their own initiative but seek advice and support where required.
- Possess good verbal, numerical and analytical skills, as well as high attention to detail.
- Possessed strong organisational and administrative skills.
- Experience in working to deadlines and prioritising work effectively.
- Communicates well at all levels and an ability to deal sensitively and collaboratively to find solutions.

**Knowledge**
- The jobholder will require a good knowledge of a range of property activities, including Landlord and Tenant, valuation, lease / licence agreement management. This could have been acquired from any role in the property industry (essential)
- Working towards RICS, recently graduated surveyor or suitable knowledge/ experience. (desirable)
- Good IT Skills - a sound knowledge of Microsoft Office packages (essential)

**Experience**
- Proven experience of working in commercial property industry (essential)
- Experience in general practice surveying including lease renewals, rent reviews, lettings, valuations, and general estate management matters. (desirable)
- Demonstrate proven ability to deal with a range of property management matters.
- Ability to self-motivate to deliver all key work to deadlines and budget.
- Demonstrate competence to handle a varied caseload at any one time.
