Duties of the person include providing support to our managers, assisting in daily office needs, and managing our general administrative activities.

Ultimately, a successful person should ensure the efficient and smooth day-to-day operation of our office.

**Responsibilities**:

- Provide accurate technology support for the Department
- Ensure the Outlook Calendar is accurate and remains updated
- Answer and direct phone calls
- Organize and schedule appointments
- Booking meeting rooms, Plan meetings and taking detailed minutes
- Assist in the preparation of regularly scheduled reports
- Perform data entry and filing to ensure Service Department information stays accurate and organized
- Update and maintain office policies and procedures
- Order office supplies
- Maintain contact lists
- Handle travel arrangements
- Welcoming visitors to the building, organising security clearance and showing them to meetings

Requirements and skills
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- Confidence to communicate effectively and accurately with a wide range of people
- Ability to accurately transcribe messages and record information over the phone or in person
- Proficiency in office management systems and procedures
- proficiency in computer programs Data entry skills and knowledge of databases and spreadsheets, including Microsoft Excel and Google Sheets
- Knowledge of human resources procedures, such as entering payroll information and keeping personal employee information confidential Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
