**Providing Administrative support to the leading accreditation charity in the echocardiography field.**

Our client are a registered charity administered by an elected Trustee Board and Advisory Council. Membership is open to everyone associated with echocardiography including cardiac physiologists, clinical scientists, cardiologists, radiologists, anaesthetistsand junior doctors; veterinarians, medical physicists and radiographers and currently stands at over 4,700 members.

The primary purpose of the role is to provide high quality administrative support to the Office Team as a means of ensuring the smooth management of the Charity.

**Purpose and Scope of the Role**:
The Administrative Assistant will be expected to proactively and intuitively support the team to enable them to operate with maximum efficiency and effectiveness in running the organisation.

**Major Duties & Responsibilities: (This list is not exhaustive)**
1. Provide comprehensive support to our members including
b. Resolve log in and site access queries
c. Facilitating access to resources
d. Mailing out posters and other member resources
e. Signposting members to the right information
2. Provide full administrative support to the wider office team including:
a. Assisting with travel booking
b. Assisting with venue search and meeting bookings
c. Assisting with data queries
d. Setting up Doodle polls
e. Creating questionnaires on Survey Monkey
f. Ordering stationery and keeping an inventory
g. Assist in preparation of documents/badges, etc for external events
3. Implement and maintain effective filing systems for storage and retrieval of information including paper and electronic files.
4. Attendance and support at events which occur outside normal working hours: in particular attend the Annual Conference and practical exams.
5. Effectively manage workload to ensure work is delivered to agreed timelines and that plans are integrated with all staff activities and goals.
6. Adhere and comply with the provisions of the internal Health & Safety Policy.
7. Undertake all duties and responsibilities in compliance with the rules and regulations encompassing Equal Opportunities and the Staff Rights and Responsibilities.
8. Any other duties as may reasonably be expected and which are commensurate with the level of the post.

**Skills, knowledge & experience
Essential**:

- Experience of providing a full range of administrative support across an organisation including external stakeholders
- High standards of computer literacy including key MS Office packages (Excel, Word, Powerpoint)
- Keen attention to detail and accuracy in recording data
- Excellent organisational, administrative and time management skills
- Ability to work on own initiative and without direct supervision, with proactive approach
- Excellent communication skills - both written and verbal
- Excellent planning and time management skills with ability to prioritise work and manage conflicting deadlines

**Desirable**:

- Knowledge of principles of GDPR
- Experience in using a CRM database

Offering hybrid working, 2 days from the office and 3 from home, this role may include attending the occasional conference requiring an overnight stay.
