The posts are to provide a professional clerical and co-ordination service to the ward, to ensure that patients and visitors receive a friendly, customer focused and efficient service.

You will also provide administration support to the Care Unit Management Team whilst operating within established procedures to ensure the efficient running of the department.

Previous experience of working in an admin role and a clear understanding of confidentiality are essential requirements of this post.

You must be able to prioritise your workload working to deadlines, work effectively on your own and as part of the administration team in supporting the Care Unit. Familiarity of general office equipment and proficient use of computer packages are also all essential requirements.

The role will also include aspects of housekeeping on the unit i.e stock replenishment, basic cleaning, equipment checks and correct level documentation is maintained.

Chesterfield Royal Hospital is located in Calow, Chesterfield, which is situated on a green field site on the edge of the Peak District National Park. It is home to the Crooked Spire and is also close to Sheffield, Derby and Nottingham, thus offering numerous choices for recreational activities and lifestyles.

Chesterfield Royal Hospital was officially opened by the queen in 1985 and since then it has continued to expand and modernise, currently holding approximately 550 beds. We provide acute in-patient and out-patient care for Chesterfield and the surrounding rural area of North Derbyshire, serving a population of approximately 350,000 people.

Receptionist Key Result Areas

Provide reception cover to CBC overnight.

Answering the door to visitors.

Admitting patients on to the relevant electronic systems and maintaining the admission book

Answering the telephone and other queries, taking messages accurately and promptly.

Ensure the bed state is maintained.

Receive, welcome and guide users of the service and visitors to the appropriate area, liaising with relevant staff as appropriate.

Create notes as required for emergency admissions not booked at this hospital.

Assist in maintaining Trinity Ward’s bed state and other clerical tasks associated with Trinity Ward overnight.

Photocopying

Inputting data into Excel spreadsheets.

Filing of reports and correspondence in medical case notes, in accordance with hospital procedures. Maintain users case notes including updating and documenting any changes in their details.

Undertake clerical duties associated with the discharge or transfer of care, any transport arrangements which may be required.

Booking follow up appointments and ensuring the safe return of case notes to the appropriate departments.

Attend a yearly staff appraisal, identify own learning needs and development plan.

To maintain patient confidentiality at all times.

Establish and maintain good working relationships with other members of staff/ departments in the interest of patient care.

Escalate any issues of concern to the shift Co-ordinator

Communicate, clearly and accurately information relating to women and birthing people that is important for the shift co-ordinator to be aware of.

Housekeeper Key Result Areas

Ensure the entire department environment is kept clean to predetermined levels and in accordance with Trust Policies and Procedures in order to achieve enhanced environmental standards for patients, visitors and staff.

Identify and action alternative and additional cleaning requirements.

To provide a focus for the delivery and provision of food and beverages to ensure patients’ needs are consistently met.

Monitor department stock and replenish where necessary, place appropriate stock orders for daily / weekly top ups.

Check and clean ward fridge and discard out of date food, ensure all food is labelled and stored correctly.

Record fridge temperatures.

Report and facilitate the storage of condemned items awaiting collection. Ensure correct paperwork is completed.

Monitor the condition of the ward area and equipment, report any faults, repairs and items for disposal, ensure correct paperwork is completed.

Identify aspects of this work that may need handover to your daytime colleagues for follow-up.

Work through an agreed programme for cleaning patient equipment.

To be familiar and comply with relevant Operational, Personnel Health & safety Policies and Procedures, including Fire, COSHH, No Smoking and No Alcohol Policies.
