Due to the continued success and expansion of our business we're seeking a **Property Administrator** to join our small but growing team based in **Shirley, Solihull.**

**The role**

You will be assisting in the collection of ground rents and service charges, and will be the first point of contact for new and existing clients. You will maintain and monitor our resident block management system and offer general advice and information on property related matters. Due to the nature of our work, some evening work my be required to attend meetings.

**You**

You'll be comfortable managing your own workload and have experience of working in an administrative role. Organised and with an attention to detail, you'll have high standards of customer service and some experience of property management would be desirable but not essential as full training will be provided. Most important, you'll have an understanding of office etiquette, professional, positive and flexible attitude with a friendly approach.

**JOB TITLE**:

**RESPONSIBLE TO**:
Property Manager

**TASKS**

**COLLECTION OF CHARGES**

1. In accordance with policy and procedures, take all necessary action for the prevention and recovery of current and former ground rents and service charges.

2. To deal effectively with all enquiries regarding service charges, rent and ground rent.

3. To maintain all office systems in respect of arrears action for nonpayment ensuring they are up to date.

4. To deal with cheque payments received into the office, ensuring they are recorded and submitted to the bank/post office.

**BLOCK MANAGEMENT SERVICES**

1. To be the first point of contact & deal with telephone calls from current and prospective clients.

2. Deal with telephone calls from leaseholders & contractors.

3. To take a lead in the smooth running of the office and its systems.

4. Receive clients’ instructions and to be responsible in ensuring such instructions are completed.

**OFFICE SYSTEMS**

1. To maintain & monitor Tasks/instructions related to RESIDENT Block Management office system.

2. To monitor and maintain the good working order of such systems.

3. Ensure suppliers invoices are entered onto the system in a timely manner.

4. To open post, date stamp & issue post to the appropriate person.

5. Setting up & liaison with utility suppliers and utility brokers.

**PROPERTY MANAGEMENT SERVICES**

1. Offer general advice and information on property and related matters.

2. Schedule tasks via RESIDENT & be responsible for overseeing those tasks

**REPAIRS, MAINTENANCE & CLEANING**

1. To deal with enquiries from contractors.

2. To oversee the key logging system.

3. To take repair requests and to issue works orders when necessary.

4. To work with the Property Manager and to obtain quotes from suppliers.

5. To maintain professional relationships with suppliers.

6. Progress chase suppliers on overdue orders.

7. Ensure contactors have correct insurance in place.

8. To maintain the approved contractor list

9. To work with the property manager in maintaining relationships with new and existing contractors.

**GENERAL**

1. To be flexible in working as attendance at some evening meetings will be required.

2. Undertake training when required.

3. Participate as a member staff or team.

4. Be prepared to liaise, assist and support other members of the team.

5. To assist in the promotion and marketing of the business as & when required.

6. Undertake all administrative and recording systems effectively.

7. To be responsive of the changing needs of Inspire Property Management and its residents.

8. To be committed to the smooth running of the business under the direction of the line manager.

9. To build and maintain good working relationships with colleagues with a determination in ensuring a harmonious working environment.

10. To cover for staff during times of annual holidays, sickness etc.

11. To carry out any other reasonable duty as requested by the line manager.
