Facilities Officer

The purpose of this role is to manage and organise the provision of an efficient and effective facilities management service to the Authorities land and property portfolio.

To manage the production of monitoring reports and analysis through the delivery of high-quality information, using data captured and integrated from multiple data systems to enable suitable working environments for occupiers and users of all buildings in accordance with statutory requirements, good practice and in line with the Facilities Management Strategy.

To assist with third party contractors and/or directly delivering all the necessary facilities related services to enable suitable working environments for occupiers and users of all buildings in accordance with statutory requirements, good practice and in line with the Facilities Management Strategy.

Your responsibilities in this role:
To act as budget monitoring expert of the Authorities land and property portfolio with respect to property management, revenue budgets and trading accounts, maintenance costs and third party spend and to monitor spending patterns and performance against agreed outputs to promote adherence to budgets.

Providing financial analysis and forecasting models based on current and past financial results to facilitate high-level decision-making by management to evaluate and rationalise the land and property portfolio on an evidential basis.

To analyse, investigate and recommend corrective action plans to achieve business objectives, on areas of significant deviations in building budgets.

To undertake benchmarking analysis of the land and property portfolio in order to achieve maximum efficiency and best value promoting a culture of continual improvement.

To provide accurate financial information (and to present) as necessary for statistical returns, Freedom of Information requests and other information requests (internal and external), as required.

To identify trends or increases in facilities management spending with third party providers and to incorporate best practice to achieve efficiencies in provision by assisting colleagues with the preparation of commercially viable tenders, contracts and service level agreements required for the effective running of the Authorities land and property portfolio and to monitor the efficiency of third-party contracts against agreed outputs.

Can you demonstrate that you have great communication skills, with an ability to negotiate and influence at all levels and have sound knowledge of financial regulations, then this is your next challenge..

Hours of work are Monday - Friday 09.00-17.00
