To arrange appointments by booking the patients onto set clinics with the correct Audiologist for the correct length of time. To organize forth coming clinics by preparing the daily clinic lists and updating the patient records. Managing patient information needs and reporting clinical activity. To deal with all telephone enquiries, questions and complaints and to refer on to appropriate staff. Secretarial duties and office management for the Chief Audiologists and Head of Audiology. The post holder will be expected to provide basic technical and administrative support to Audiologists. He/he will also be required to participate with all routine duties within the department, to assist in the effective running of the department and work in a professional manner to provide a quality service. If successful the post holder will be expected to attend suitable development courses chosen by the Head of Audiology which will be supported by the Trust.
1. To act as the focal point of administrative communications for the Department, taking all telephone enquiries, personal callers/visitors and directing patients where necessary.
1. To enter basic patient data onto the computer system using Medway and Audit base.
1. To prepare documentation / patient notes for clinics being held in the Audiology Department.
1. To check clinics are booked according to clinic rules & take appropriate action following given guidelines.
1. Liaise with patients and / or relatives with regard to their appointments and any queries that they have, having sought advice from an Audiologist when applicable.
1. Liaise with other Departments in order to ensure the smooth running of the office & Service.
1. Liaise with external agencies that have contact with the Audiology department.eg. GP’s, Education, Hearing Therapy, etc.
1. Is expected to maintain patient records in the Department in an organised and methodical manner according to Trust guidelines including filing of results, printing patient labels.
1. Assist with the sending out of appliances to the patient’s address.
1. Ensure that there is an adequate supply of appropriate patient information leaflets for Department.
