**Hospice Receptionist**
**Accountable to**: Volunteer Manager
**Hours**: 37.5 hours per week (open to negotiation)
**Salary**: £22,816 per annum Flexibility required at all times
**Purpose of the Role**:
- To be responsible for the day to day running of the front desk and the reception area
- To welcome and direct service users, staff, volunteers and community members in a helpful and professional manner while maintaining confidentiality at all times
- To undertake hospice administrative duties to a high level.
**Role & Responsibilities**:
**Reception**
- Professionally greet all visitors to the hospice and provide a visitor badge if necessary.
- Take phone calls effectively and direct relevant calls to the appropriate staff
- Deal with queries kindly and confidentially and ensure relevant messages are passed to the appropriate team member on a timely basis
- take donations from people in a helpful, friendly and understanding manner
- Receive and dispatch deliveries
- Take payment using the hospice card machine and restock shelves of products for sale
- Contribute to the planning, preparation and delivery of key events, training and patient groups held at or on behalf of the hospice.
- Ensuring the front desk and reception area are tidy and presentable at all times
- General housekeeping to support the clinical team e.g. washing and drying towels and ensuring the hub kitchen is kept clean and tidy
**Administration**
- Utilise Systm1 to assist the clinical team with patient appointments and updates as instructed
- Perform administration duties including; ordering stationery supplies and
- equipment (including stock monitoring and storage), distribute the incoming
- mail, franking and posting of outgoing mail, generate posters for information
- Prepare staff location sheets, the duty board and contact lists
- Adhoc administration and reporting where required
- Assisting with Purchase Orders for the hospice where required
**Volunteers**
- Managing the rota for volunteer front desk cover
- Supervise and support volunteer receptionists as required
- Ensure smooth handover for Friday and Monday cover
- Support the Volunteer Team with tasks such as administration and organising volunteer transport
**General**
- Support other departments as required
- Maintain confidentiality at all times
- Wear identification badge and appropriate clothing whilst on duty
- Participate in training as required
- Comply with all relevant policies and procedures
- Represent Blythe House Hospicecare & Helen’s Trust with a positive attitude and professional appearance.

**Education**:
- GCSE or equivalent (preferred)
**Experience**:
- Customer service: 1 year (preferred)
