**Role**

The post holder will support all members of Student Wellbeing Services, and liaise as necessary with colleagues across the university, and occasionally external to the university. Good communication skills and the ability to work collaboratively with others is essential.

The role requires attendance at team meetings and staff briefings, and occasional attendance at internal and external meetings.

The post holder will have good networking skills and build good relationships with other admin workers across the team, team members and wider colleagues across the university, to ensure an effective and efficient service provision.

As a member of Student Wellbeing Services communicate clearly concerns and areas for improvement to team leader and manager to ensure the effective running of the service to students and staff.
- To operate the appointments booking system
- To file and maintain records in accordance with GDPR policy.
- To support the business of the team by arranging and minuting meetings.

**Duties and responsibilities**
- To provide administrative support for the student wellbeing Service.
- To act as the first point of contact for the Student Wellbeing Service via phone, Outlook, Teams and online referrals. Communication from students can be challenging and sensitive in nature and this requires a sensitive approach and complete confidentiality.
- To support student appointment booking links via MS Bookings and to cancel appointment when necessary.
- To file and maintain records appropriately (using MS Office Suite). Collate daily, weekly and monthly statistics for the Service.
- To arrange and take minutes of meetings as required and prepare these for circulation. To follow up with amendments and record actions of team meetings.
- To process online referrals for the Student Wellbeing Service. This requires use of multiple student record systems, together with SWS own Case Management system (PCMIS) - training will be given - and distributing case information to case management teams.
- To process Disabled Student Allowance (DSA) Needs Assessments and DSA entitlement letters, updating the student record system and liaising with students as necessary. Reminding students of the DSA drop-in via a weekly mail merge.
- To support with staff management tasks, including: recording absences, setting up associate accounts, Right to Work checks, supporting the onboarding and induction of new members of staff into the team.
- To undertake purchasing as required.
- Assisting managers in the compilation of data in the case of Freedom of Information (FOI) or Subject Access Requests (SAR).

**Skills and experience**
Must have:

- Relevant recent secretarial/administrative experience, including in manipulating spreadsheets and / or databases
- Experience of managing work in a busy office
- Experience of effectively managing electronic records and files
- Experience of arranging and minuting meetings
- Good organisational skills and able to meet deadlines
- Good team player
- Proficient in the use of common software packages (e.g. MS Office 365) and MS Teams
