**The role**

As our Lettings Administrator, you’ll use your positive attitude, your knowledge of business administration and your ability to deliver an excellent customer experience to delight our tenant and landlords.

It's a varied role and you could get involved in anything from responding to enquiries and undertaking property viewings to overseeing and administering our tenant onboarding process.

We'll look to you to problem solve and build relationships with our maintenance contractors and external partners, such as council housing officers. It's a great way to build your knowledge of our work and develop your potential.

**The person**

To join us you’ll need to be a skilled administrator and, ideally, experienced in residential lettings or estate agency. You’ll have a full UK driving licence and access to your own car.

**JOB DESCRIPTION**

**Job Title**: Lettings Administrator

**Tenure**: 6 Month Fixed Term Contract

**Location**:Treforest, Pontypridd

**Hours**: 18 hours per week

**Salary**:£11.50 per hour

**Job Purpose**:
The purpose of this role is to provide administration support which complies with corporate protocols, tasks and processes, in the management of student and residential lettings and sales.

**Key roles and responsibilities**
- Ensure all communications received in relation property enquiries and maintenance are dealt with promptly and effectively to ensure the best outcome.
- Undertake property viewings with potential tenants and landlords
- Liaise with third parties, such as local council, utilities companies and maintenance contractors.
- Oversee and administer the tenant onboarding process, including preparing tenancy agreements, referencing and protecting deposits.
- Undertake tenancy check-ins, property inspections and check outs, including preparing property inventories where necessary.
- Administer the invoicing and payments process; including drafting and issuing rent reminders and reviews.
- Oversee and administer property compliance processes in accordance with company processes and legislation
- Inputting and updating data ensuring compliance with GDPR regulations
- Maintain an up-to-date, efficient and effective current and archive filing system
- Ensure that all working practices deliver excellent customer service to our tenants and landlords
- Maximise all opportunities available to encourage business growth and development

- Co-operate in maintaining safe and healthy working environments by complying with Health and Safety legislation relevant to work activities

- Act with diplomacy and discretion to safeguard confidential and commercially sensitive information at all times

**1. Knowledge, Training and Qualifications**
- An understanding of confidentiality and data protection
- Desirable**: An understanding of residential and/or student lettings
- Desirable**:NVQ level 3 in Business Administration or equivalent or working towards

**2. Experience**
- Experience of working in a busy customer service environment and delivering a high level of customer satisfaction
- Experience of administrative tasks including typing, filing, information recording systems, dealing with correspondence and telephone queries
- Experience of maintaining office systems, including filing and databases
- Experience of building strong and successful relationships with customers and stakeholders
