Reporting to the Team Leader, we are currently seeking a Receipts Administrator to provide accurate traceability of material through Maximo and MODS systems and processing of supporting documentation. Key responsibilities of the role are to:

- Ensure all material received is processed in Maximo and MODS, fulfilling all requirements for GRN and creating 3rd party deliveries;
- Responsible for ensuring materials received for stores is manifested on Maximo and MODS;
- Ensure good communication with all stakeholders to ensure the timely processing of paperwork and resolution of any discrepancies i.e. duplicate deliveries, missing paperwork etc;
- Ensure Daily Receipt Register is kept up to date and provide monthly report to the client;
- Resolve GRN invoice queries from Petrofac;
- Arrange transport for airfreights and provide job number from P&L spreadsheet;
- Upload stores container photos;
- Track Pcard purchases and collate paperwork where necessary. Follow up with procurement for non-delivery of items;
- Develop and maintain strong working relationships with colleagues and client contacts to assist with the resolution of queries;
- Liaise with both inventory and shipping teams regarding items for hold/stock and shipping;
- Assist the stores team when required with collecting items from the Front Door and helping with labelling up box and pallets;
- During periods of annual leave, create detailed manifests from load lists and associated documentation, ensuring manifests are produced accurately and to strict deadlines;
- Ad-hoc duties as required in line with applicable training/competency assessments undertaken.

Minimum Competencies (Skills, Knowledge and Behaviours)
- Educated to National 5 level or equivalent.
- Accustomed to working in a fast-paced environment, adapting to changing workloads. and priorities, where high standards are not compromised under pressure.
- Ability to plan and organise, ensuring effective time management to meet strict deadlines.
- Strong interpersonal and communication skills both verbal and written.
- Computer literate with a strong attention to detail and excellent planning & organising skills.
- Ability to work stand-alone while a positive contributor to the wider team.
- Solutions based, motivated to achieve the highest performance standards and customer support.

Desirable Qualifications/Competencies

Previous experience of supply chain logistics.

HM Revenue and Customs End Use Awareness.

Dangerous Goods Awareness.

Manual Handling Awareness.
