**We’re searching for an incredible BTR Commercial Services Coordinator on 12 month fixed-term basis**

As a Commercial Services Coordinator you will support the Mobilisation, Consultancy and Project elements of the team with report production, putting together presentations, minute taking and recording actions discussed at meetings and supporting the team to achieve deadlines. The role also encompasses working with the teams to design templates and invoice management.

**What will you do?**
- Administration and main point of contact for the Head of Commercial Services and Projects, Senior Mobilisation Managers and Consultancy for reporting, template management and keeping central records of multiple work streams.
- Coordinate status reports from work stream owners and inputs into single view portfolio projects tracker
- Ensure payments have been received with the accounts team on a monthly/quarterly basis as required
- Record minutes and actions from meetings when required and circulate minutes to all relevant parties (including external clients) when required
- Assist with template management, design and version control to ensure only current versions are available
- Assist with the upkeep and scheduled reviewing of key departmental processes in our central learning system alerting the process owners to key legislative changes
- Support with any external client contract generation in line with the relevant Scope of works and contacts agreed as required
- Maintain client details updated and maintain central records of payments of invoices, Property Management Agreements, Consultancy Contracts and Project Stakeholders
- Assist with raising Purchase Orders
- Support the Mobilisation process with the obtaining of important site information and uploading to the relevant central storage point or compliance system as appropriate

**Desirable**:

- Project Management CAPM qualification
- Project Coordinator experience
- Administrative and multiple Diary Management experience
- Proficient in use of urbanbubble systems such as databases, Sharepoint, Promapp, Zoho, Track Record and Avetta
