Responsible for the day to day supervision of all reception staff and associated functions, including repeat prescribing, ensuring all functions are carried out in accordance with agreed procedures, protocols and time-scales with the support of the Management Team.

**Job responsibilities**:

- To attend a meeting one a week with the Practice and Deputy Practice Manager and cascade information from reception to the management team and vice versa
- Oversee the staffing levels of reception, including the rotas, holidays and other absences, ensuring adequate staffing levels are maintained.
- Arrange the induction and training of all new staff members to the department including 3 month probation review.
- Identify any staff training needs and put a plan in place where possible or liaise with the Deputy Practice Manager.
- Advise the Deputy Practice Manager of any staff absences and upload to TeamNet
- Report any patient complaints to the Practice Manager in a timely manner, being aware that all complaints need responding to initially within 48 hours.
- Prepare at least 4 weeks of reception rotas in advance for review with the Management Team, so any potential issues can be identified.
- Manage and oversee the appointment book daily to ensure appointments are correctly utilised.
- Deal with more complex patient issues and report/forward on to the Management Team where required.
- Continually assess and evaluate systems, recommending changes and improvements to the Management Team as appropriate.
- Have oversight of stocks in reception and inform the Management Team of any required orders, ie stationary, information for patients
- Ensure DVLA’s are scheduled in a timely manner and the processes for payments and invoicing are followed.
- Ensure E-consultations are allocated daily.
- Ensure OPEL ratings are completed before 10.30am each day.
- Ensure door codes are changed at the correct intervals and communicated.
- Ensure all staff are trained and supporting patients with online services.
- Support the Management Team to complete staff appraisals by giving constructive feedback.
- Maintain the tidiness of reception at all times and ensure cleaning schedules are made and adhered to.

The post holder will ideally work no less than 25 hours per week and be flexible enough to help cover the department when needed.

**Job Types**: Full-time, Permanent

Pay: £12.50 per hour

Expected hours: 25 - 35 per week

Schedule:

- Monday to Friday
