**Collections Registrar**

This role will have two main responsibilities: the management of the ongoing Collections Audit Project and its volunteers, and general museum registrar duties, which will include ongoing updates to our documentation procedures.

The Collections Audit Project is allowing us to individually assess every single object in our collection, to improve its documentation, its catalogue in our database (Vernon CMS), and its physical storage conditions. With support from a strong team of volunteers, we have completed this process for 20 590 objects and are now moving on to new audit locations in a new phase of the project. Following the completion of the audit and inventory, there will be important work to do in rationalising our collection (particularly our loans), and improving our storage. The project is also giving us the chance to update our documentation procedures and to rectify historical documentation issues.

This is an exciting opportunity to join a team that is making active changes to improve our approach to acquisitions, loans and displays. The Collections Registrar will have an important role in reporting on the nature of the collection in order to help with decision making. On an ongoing basis, this role will manage the knowledge of the collection with our database (Vernon CMS), to assist the Curator in using the collection dynamically to create new exhibitions and displays, as well as improving our online collections.

**Main purpose of the role**:

- **Ensure the museum has the best knowledge possible of its collection.**
- **Manage the acquisition, disposal, and loan arrangements of the collection.**
- **Share knowledge of the collection with museum colleagues, visitors, stakeholders and online communities.**
- **Complete the full audit of the museum’s collection (begun in May 2021, due to end late 2024) and ensure the collection is accurately recorded on an ongoing basis.**

**Key Responsibilities**
- Manage a team of ready-trained volunteers to complete the Collections Audit & Inventory Project.
- Manage the Collections Project going forward. This will include planning, review, reporting to trustees & colleagues, and the project’s orders & budget.
- Help to manage, develop and review our loans & loan policies.
- Work with the Curator to ensure the museum’s documentation procedure manual is fit for purpose and applied.
- Manage and record all communications with ongoing and temporary lenders, liaising with the Curator and Director where necessary to ensure excellent stakeholder relations.
- Respond to offers of donations, using the museum collection development policy
- Support the Curator in searching for and selecting items for temporary displays, based on various thematic, conservation and practical criteria.
- Follow the museum’s volunteer journey and strategy in all volunteering activity.
- Follow the Collections Trust SPECTRUM procedures and train others to do likewise.
- Work with good object handling, packing and marking skills and develop own and others’ skills in information and data management.
- Ensure all collections data follows GDPR.
- Liaising with insurers and organising collections insurance when necessary.
- Use the collections database to provide key decision makers with information.
- Occasionally work evenings and weekend days as required (usual working pattern will be daytime on agreed weekdays).
- Assist with facilitation of research and archive visits in our Library.

- Visible passion for the significance and relevance of museum collections. (Interview)

- Strong verbal and written communication skills, particularly with Trustees and external stakeholders. (Interview)
- Experience of working as a volunteer or with other volunteers. (Application)

**Desirable selection criteria**
- Experience of managing a volunteer team. (Application)
