**Primary Responsibilities**
The following are the core responsibilities of the SA. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels. The senior administrator is responsible for:
- Coding and Workflowing incoming letters/ Code and workflow all paper documents
- Support GPs and other clinicians by reducing their documentation workload and maintaining accurate, concise medical records:
- Review and update all new patient records /Summarising notes
- Action all urgent documents accordingly
- Medical Report and Non NHS Work Management
- Update manager of issues which may affect service.
- To ensure effective administration support
- To manage all aspects of patient information
- Initiating contact with and responding to requests form team members and associated healthcare agencies and providers.
- Guiding staff and developing searches and audits on the clinical system
- Reviewing and updating clinical templates ensuring they relate to current practice.
- Monitor group mailboxes, ensuring information is disseminated appropriately.
- Supporting the overall practice clinical governance framework, submitting reports for OQF, enhanced services and other reporting requirements using CQRS / Open Exeter etc.
- Ensure the effective use of ERS, EPS, Docman and other IT programmes.
- Monitoring and disseminating information on safety alerts and other pertinent information
- Support the management team in the compilation of practice reports
Identifying trends and devising solutions to reduce risk and repeated occurrences of significant events
- Developing, implementing and embedding the practice audit programme (in conjunction with the lead nurse)
- Effectively managing DNAs, referred repeat offenders to the Practice Manager where appropriate
**Secondary Responsibilities**
In addition to the primary responsibilities, the DPM may be requested to:
- Raising/typing/booking referrals
- Chasing referrals and answering patient queries via phone
- Deputise for the practice manager in their absence
- Act as the primary point of contact for NHS(E), ICB, PCN, community services, suppliers and other external stakeholders in the absence of the practice manager
- Assist with the recruitment of staff as requested by the practice manager
- Support the practice manager in the reviewing and updating of practice policies and procedures
- Support the practice manager with CI and change initiatives
- Coordinate portable appliance testing (PAT)
- Maintain an equipment log
- Manage asset registers as directed by the practice manager
- Act as the communication link between the management team and staff
- Represent the practice locally as required
- Maintain a working knowledge of ICB initiatives
- Maintain Practice Registers: Learning Disabilities, Palliative Care, Housebound, Child Protection /Safeguarding
- Ensuring the clinical session structure is effective, meets the needs of the patients and clinicians have access to suitable rooms.
**Job Types**: Full-time, Part-time
Part-time hours: 30 per week
**Salary**: £13.00-£15.00 per hour
