Macildowie are pleased to be working with a high end manufacturing organisation to recruit a Personal Assistant on a full time, permanent basis. You will provide comprehensive and confidential support, including full secretarial and administration, to the ManagingDirector ensuring that they can spend maximum time on strategic tasks.
This is a full time position but part time (4 full days) will be considered. Working hours are Monday Friday and you will be based from their Kirkby in Ashfield office.
**Role and responsibilities include**:
Act as first point of contact and a representative of the MD with a wide range of internal and external contacts, including the most senior level
Diary management managing the MD's diary, developing a schedule that maximises effectiveness and impact. This will include intricate diary management, full meeting preparations and briefings and exceptional forward planning.
Travel arrangements planning and booking complex travel itineraries and coordinating all the associated logistics for the MD and any others in the same travelling party. Ensuring that all details from departure to arrival home are covered in detail and communicatedeffectively to all involved (including arranging any necessary visas, transport, accommodation and entering or leaving health testing requirements).
Organising internal, external meetings and conference calls ensuring venues are prepared in advance and all participants receive detailed pre meeting preparation that is required and providing any previous minutes / information.
Work with internal Legal Manager to create and maintain the Contracts Database, Distribution Agreements, Non-Disclosure and Supplier agreements. Communicating the status of these documents to the relevant stakeholders.
Develop and maintain the Intellectual Property including Trademarks, Patents and Design Rights as directed by the Managing Director.
Ensuring that the MD is fully briefed for all meetings, decisions, travel and external engagements.
Minute taking - Ensure that minutes are clear, detailed and issued in a timely manner.
Experience in a similar PA role supporting at MD level
Excellent communication skills both written and verbal
Extremely organised
Ability to work in a demanding environment and to a fast pace
Able to use one's initiative
Excellent minute taking skills
Computer literate knowledge of all MS package inc, Excel, Word.
