**Overview**

Help to look after events from the initial enquiry to the day itself (and everything in between)

**Responsibilities**

The event co-ordinator will:

- Take the lead on viewings and help to manage the diary for viewings for weddings and events
- Be one of the contacts for all bride and grooms and those who have booked an event or corporate function with Saltmarshe hall.
- Up-sell all areas where possible
- Generate ideas to add to the overall sales diary
- Generate a weekly overview of sales/ enquiries/ conversions and send to your line manager to add to the overall business sales overview, including reasons for denials and trends.
- Be responsible for sending terms and conditions, pricing, invoices and any relevant information to clients
- Be the main contact for suppliers in the run up to the event and on the day; ensure that they sign and return the terms and conditions. Ensure they/we have all the relevant documents.
- Be comfortable with communicating with the whole team in bi-weekly meetings to ensure everyone is aware of the business that is happening in the house.
- Take the lead in conducting consultation meetings with clients and ensure that the information gathered is passed to SMH team
- Revise pricing based on any additional requirements of the clients / changes in plans
- Send out invoices and receipts; will monitor payments and chase where necessary throughout the booking process
- Will keep a log(s) of all weddings and events including enquiries, the requirements for the day, pricing and payments
- Will work with the team to ensure that stock has been ordered, has been checked for dates and is at the appropriate levels
- Produce a final report on the running order of the event for the SMH team; will run through with the SMH team
- On the day coordination for Weddings and Events, to ensure clients standards are met along with the assistance of suppliers and vendors.
- Upholding the Saltmarshe Hall Values; ensuring the property is always ready on time and repetitive of the high standards we expect.
- Ensure licensing conditions are adhered to, including extended, temporary licenses.
- Gathering Data and feedback from clients after the event to ensure the business develops.

**Skills**
- Be an ambassador for SMH, representing the company in both personal presentation and carrying yourself with the company values.
- Build excellent rapport with viewers and potential clients and couples throughout their relationship with SMH
- Excellent communication skills both written and verbal
- Good Microsoft Office skills in particular in relation to Excel for creating and maintaining reports
- Excellent problem-solving skills
- Excellent eye for detail and strive for continually high standards
- Ability to adapt, be flexible and be resilient to change
- Knowledge and ability to use a back of house EPOS system

Specific objectives will be given alongside the job description annually.

Hours: 40 hour contract, includes weekend work

**Salary will depend on experience**
