The Administration Assistant will be the first point of contact in the office for both clients and potential clients. Key aspects of the role include:
**Office Management**
- Managing Reception Area; answering calls and meeting and greeting clients
- Opening and closing the office as required
- Responsible for keeping software management CRM systems up to date
- Deliver high quality customer service to all clients

**Property Rental**
- Liaising with potential tenants to book viewings and carryout references
- Arrange and document maintenance works
- Arrange and document safety certificates
- Booking appointments including viewings
- Arrange and document property inspections

**Property Sales**
- Booking appointments including viewings, sign ups and valuations
- Collecting and processing ID as according to AML regulations
- Managing admin at point of sale including liaising with associate and updating details of a property where advertised

**Marketing**
- Managing and updating the office window display
- Updating valuation pack

In addition to the above, the Administration Assistant shall carry our other duties as required by the Directors and shall liaise with Directors, Associates, Clients and other Stakeholders in a professional and timely manner.

- Microsoft word, Excel and PowerPoint
- Excellent communication skills at all levels
- Strong proven organisation skills
- Good eye for detail

- Self-motivated
- Ability to work well under pressure and meet deadlines

**Salary**: From £10.65 per hour

Schedule:

- Monday to Friday

Ability to commute/relocate:

- Broxburn: reliably commute or plan to relocate before starting work (required)
