Band 3 Ctpld Team Administrator

Supporting the Community Team for People with Learning Disabilities (CTPLD) and reporting to the Operational Lead we have an exciting opportunity for a Band 3 CTPLD Team Administrator.
The post holder will provide a comprehensive administrative assistant/secretarial service to support duties associated with CTPLD, good organizational ability, strong IT skills and flexibility are required. Although the primary office base and work will be at Kettering, Carey Suite, the post holder is expected to be flexible to work remotely and in other LD office locations covering and synergistically working with other service administrators as per service needs.
The post holder will provide comprehensive administrative support and will maintain an effective office base for administrative responsibilities. They must be flexible and use their initiative to organise their own workload dependent on the priorities and requirements at the time and will need to understand and work towards meeting and managing data sets linked to CTPLD targets.
- Inputting into, monitoring and printing reports from supported systems
- To receive incoming telephone calls, and deal with queries where possible /or take accurate messages and direct to the appropriate recipient
- Deliver an effective and competent level of receptionist and/or clerical support and consistently deliver a “client-focused” service which promotes good customer service and effective working relationships
- To generate a range of documentation including letters and reports to a professional standard. This may include the composition of letters to patients and families/carers and other professionals on behalf of the team
- Minute taking/prepare agenda, appropriately at informal meetings where required, drafting, obtaining approval and distributing in a timely manner. To ensure the appropriate and timely dissemination of information across the team
- Deal with concerned patients/relatives and stake holders with tact, patience and discretion, especially when conveying sensitive information, some of which can be stressful and likely to be emotional
- Manage incoming and outgoing post ensuring all incoming mail is date stamped and forwarded to the appropriate person on the day of arrival, including electronic mail received and sent for the teams. Sort outgoing mail according to internal, external departments and relevant agencies

The post holder may be required to travel between Trust sites to facilitate meetings as and when required
- Have a flexible/adaptable approach to their work to meet various deadlines
- Act as a key point of contact providing information, support and advice to clinical and administrative staff within and beyond the team, Acute and specialist hospitals, other partner agencies, providers and service users
