**Purpose of the role**:
The **Associate Meeting Planner** is responsible for successful delivery of a variety of event projects on time and on budget for a major pharmaceutical client. The role includes maintaining effective day to day contact with clients within allocated account and communicating with dedicated team to ensure effective working. For the assigned events, the Associate Meeting Planner is the key day to day project contact for the client with support from the Senior Project Manager and if required, Head of Events.

**Main responsibilities**:
**Specifically, the Associate Meeting Planner will**:

- Successfully deliver assigned event projects to the highest service standards with mínimal supervision;
- Manage assigned Project Executive to ensure deliverables are on time, on budget and on brand;
- Develop strong relationships with clients to encourage account growth;
- Deliver a consultancy service offering expert knowledge of how best to meet client M&E objectives through live events to drive client retention;
- Be an ambassador for the CWT Meetings & Events brand able to enhance and uphold our brand reputation in the industry.

**Key Accountabilities**:

- Build and maintain strong relationships with all key account contacts, demonstrate a thorough understanding of the client business and objectives, and influence client thinking in a way that mutually benefits the client and CWT Meetings & Events;
- Own and oversee the project management of a range of event projects to ensure client service satisfaction, manage performance to agreed client service level agreements, ensure successful project delivery on time and on budget and achieve pre
- agreed event profitability targets;
- Manage event project tasks including initial brainstorms, proposal generation, statement of work, service level agreement, kick off meetings, project plans, budgets, timelines, taking and distributing contact reports for internal and external meetings, management of team hours, delegate management and onsite event management, as well as other event tasks required to deliver the project to an excellent standard;
- Brief in and delegate tasks accordingly within the dedicated event project team and working alongside internal colleagues including production, creative, strategy, registration and IT in order to achieve excellent results;
- Ensure that quality processes and tools are incorporated into all daily activities to drive process efficiencies and maintain the highest client service standards;
- Ensure contingency plans are created and in place to effectively manage crisis situations and support business continuity related to all allocated client accounts;
- Manage venues, undertaking site surveys and assisting the client to make the right venue choices. Liaison with venues to ensure they are briefed and deliver an excellent service;
- Build and maintain effective strategic supplier relationships, manage contracting and ongoing communications with all third party suppliers, leveraging volume discounts, undertaking contract reviews, checking emergency procedures and processing third party payment requests as required;
- Work effectively onsite running the events, as required, to ensure the smooth running of the event on the day;
- Manage, review and update event budgets and finalise all post event budget reconciliations. Ensure that target margins are met and profits are achieved. Be an active promoter of increased net and gross margins;
- Build and maintain strong relationships with all internal colleagues at CWT Meetings & Events and the broader CWT business and be a mentor to account teams and the wider business to promote and deliver the M&E value proposition.

**Experience & education**:
**Experience**:

- Significant experience of working in a similar M&E role within a comparable agency delivering live event projects or within a major global Pharmaceutical client event team;
- Demonstrable understanding of the M&E industry and knowledge of the service areas of CWT Meetings & Events specifically live events management but ideally also group travel, venue finding and strategic meetings management;
- Proven track record in managing client expectations, some experience of managing junior staff to execute outstanding and profitable events, surpassing client event objectives and delivering on time and on budget;
- Strategic and commercial acumen with ability to manage complex programmes with large budgets and an ability to use business intelligence to drive innovation;
- Adept at managing key client and internal relationships.
