**Purpose of Job**:
To provide administrative support to the Operations team to ensure the smooth running of the businesses day-to-day operations.

**To support the Operations Manager and Data & IT Manager in oversight and maintenance of the company client database in compliance with GDPR and data retention policies.**
- Adding new leads / clients to the CRM system within SLA timescales
- Liaising with advisers to ensure appropriate consent to hold data is obtained in a timely manner in compliance with GDPR and data retention policies
- Deletion of personal data in compliance with GDPR and data retention policies
- Producing monthly and ad-hoc lead and other required reports
- Assisting with the maintenance of client database including, but not limited to, putting plans out of force, restricting and unrestricting clients as appropriate and providing administrative support for data cleanse projects
- Logging privacy agreements and other consents when received
- Performing regular checks to ensure data is kept accurate and any anomalies are corrected promptly
- Daily monitoring and management of centralised mailboxes. Forwarding important mail to the relevant individual / team. Keeping the mailboxes in a tidy and orderly manner
- Ad-hoc operational admin support when required

**To support the Data & IT Manager in conducting investigations into potential or actual data breaches**
- Provide data incident response support including assisting colleagues with completion of breach and incident forms
- Assist with any regulatory investigation or request for information such as Subject Access Request (SAR)

**To assist the Data & IT Manager in the deployment and operation of IT systems and its maintenance**
- Support with the training of employees to use software and hardware
- Assist colleagues with day-to-day queries including troubleshooting issues and escalating to appropriate support services when needed

**To assist the Data & IT Manager in the implementation of data management policies**
- Assist with maintenance of the Document Control Log including liaising with colleagues around the business to ensure documents are reviewed on an annual basis
- Assist with the standardisation of internal documents to ensure continuity
- Assist with maintenance of the Outsourced Provider log to ensure Due Diligence is logged appropriately and liaising with colleagues around the business to ensure regular annual reviews are conducted

**To support the Operations Manager and Data & IT Manager in the integration of newly acquired firms**
- Assist with data analysis to ensure the integration of data is completed in a timely fashion
- Support integration project team with third party providers to ensure the smooth integration of IT systems and databases

**Skills and Experience**

**Qualifications**:

- GCSE level grade A-C (or equivalent) in Mathematics and English Language

**Experience**:

- Experience in a business work environment preferred

**Knowledge**:

- Exceptional IT skills
- Excellent understanding of MS Office, particularly Excel and the use of formulas, charts and tables

**Skills**:

- Excellent verbal and written communication skills
- Strong organisational skills with attention to detail
- The ability to decipher and organise large amounts of data
- Excellent analytical skills to effectively scrutinise data for inaccuracies or anomalies
- Ability to contribute as part of a team
- Ethical, with the ability to remain impartial

Pay: £22,000.00-£28,000.00 per year
