**About the role and team**

We are currently recruiting for a Legal Secretary to join our team in Macclesfield. Although this is a Legal Secretary vacancy, there will also be Reception based duties included, and would therefore form a hybrid role that would be based in Macclesfield office.
- Client care responsibilities.
- Ability to take and deal appropriately with client enquiries, (whether by phone or in person)
- To welcome clients visiting the office, making drinks as required.
- Key Secretarial tasks
- To provide secretarial support to the Private client teams in Macclesfield (traditional private client work and personal injury / clinical negligence teams)
- To transcribe letters and documents, from audio dictations. This will necessitate fast and accurate typing skills, and an ability to self-check output before presenting to the fee earner.
- Acting as a Witness
- Careful and accurate copying of documents (including specific formatting requests such as pagination and preparing bundles under supervision)
- Organising meetings, appointments and conferences (virtually or in person), communicating clearly with all parties and confirming details of the same.
- Making phone calls to third parties as directed by the matter supervisor
- Careful transfer of data to the agreed, designated recipient using the prescribed methods (online data transfer, copying discs), keeping a record of data shared.
- Preparing documents for certification
- To maintain an orderly file/ record of Court Orders.
- To maintain a clear register of medical records held by the team, electronic and hard copies
- To answer phone calls, recording messages accurately in our Document Management System, providing approved information to callers and transferring calls as appropriate.
- To make room bookings and appointments using the firm’s electronic calendars.
- To log Wills and Deeds into our archive, keeping an accurate record of original documents held in Macclesfield.
- To respond in accordance with the firms document request procedure, to enquiries regarding documents held in storage and account to the responsible partner in respect of the same. Liaising with the Client Care Administrator to ensure accurate maintenance of the firms Archive Register(s)
- To provide the following support to reception to cover busy periods, and to cover leave:

- To be apart of the team of answering telephone calls into the Macclesfield office and dealing with client enquiries.
- To provide scan and save incoming post using the prescribed format and in accordance with the prescribed procedure. Appropriate distribution of the same. (In an increasingly paper-light environment this is seen as a key task and must be performed accurately and given due care and attention).
- To maintain an accurate record of who is in the building (register of visitors).
- To take payments in accordance with the agreed procedure
- To arrange and receive deliveries (from couriers and other postal services)
- To prepare rooms for meetings
- To create paper files for new matters
- To prepare franked mail and to be responsible for collecting and delivering mail and dx on a rota basis.
- Experience of working with case management systems. With an ability to:

- Open enquiry files accurately
- Proactively update and maintain client records
- Create, amend and save documents in the prescribed format

- Professional and warm manner, both on the telephone and around the office
- IT skills:

- Knowledge and experience evidenced in effective use of various IT Systems.
- Typing skills:

- Accurate and fast audio typist
- Accuracy and attention to detail
- In record keeping,
- Taking appropriate care and due attention in respect of the information within the their possession, recognising responsibilities of confidentiality.
- Time Management:

- Calm manner and ability to act appropriately during busy periods
- Ability to prioritise tasks
