Facility Coordinator

Pitzhanger Manor is the Grade 1 listed ‘country’ house of Sir John Soane, designed and built by Soane 1800-1804 in what was then rural Ealing, West London. Pitzhanger has reopened to the public following a £12m HLF and ACE-supported building project in 2019, to restore Soane’s original design and upgrade the adjacent Gallery so it can stage ambitious and challenging contemporary exhibitions

**Facility Coordinator**

This is a new role and a unique opportunity for an experienced professional to join a passionate and committed team to uphold the maintenance and safety of our buildings and people. Reporting to the Head of Commercial & Operations, the Facilities Coordinator is a key post assisting with the maintenance management of Pitzhanger Manor’s unique historic buildings.

The Facilities Coordinator will work closely with Commercial & Operations, our Visitor Experience and Finance team to ensure our buildings maintenance, conservation and health and safety objectives are met.

Building strong relationships with contractors, teams, and London Ealing Council representatives you will nurture relationships and ensure planned contracts and service deliverables are met and repairs and maintenance are carried out timely and within budget.

**Key Accountabilities**
- Manage the PPM (planned maintenance schedule) for the estate liaising with and updating key contacts and operators on the maintenance schedule
- Ensure all buildings, staff and volunteers comply with safeguarding and fire and emergency evacuation procedures
- Managing and welcoming contractor visits to site
- Identifying and coordinating required external training on health and safety training & first aid and other training needs
- Be a key contact with maintenance contractor on day-to-day maintenance ensuring jobs are booked and completed
- Managing completion of jobs on Concerto LBE’s online maintenance platform
- Ensure accurate records are maintained of building information and works undertaken
- Producing reports showing completed jobs and expenditure
- Cross referencing jobs with PMGT Accounts to ensure jobs are charged back timely and accurately
- Oversee our cleaning, alarm & IT contracts and be point of contact for service delivery and necessary reviews of these and others
- Build relationships across the estate checking our buildings and highlighting any concerns or opportunities with Head of Commercial & Operations
- Upholding the conservation objectives of PMGT understanding preventive conservation
- Support exhibition planning and change over calendar working with the Exhibition Manager and contractors ensuring site requirements are met
- Support Garden Volunteers on fulfilling landscaping objectives
- Be a key contact for Walpole Park Ranger and work collectively on shared facilities
- To maintain at all times the highest levels of discretion and confidentiality

**Job Type**: Part-time
Part-time hours: 18 per week

**Salary**: £18,000.00 per year
