We are currently seeking an enthusiastic and experienced Site Administrator to join our team based in Edinburgh for a period of up to 12 months to cover maternity leave. This is a rare opportunity to be part of a small and important team within the Cruden Group.

We offer excellent working conditions - 35.25 hours per week, Monday to Friday. This role will rotate between being based on our sites and at our South Gyle office in line with work commitments.

**MAIN PURPOSE OF THE JOB**

To manage processes related to the management of document control; working alongside project team to maintain and improve systems of control from project initiation throughout completion.

**DUTIES**
- Collate and record all timesheets for Cruden Building Weekly Paid Staff and Agency Staff for Site Manager sign off.
- Monitor & maintain project filing systems (Asite) in conjunction with the filing systems for Cruden Building.
- Efficiently manage project data, drawings and correspondence in accordance with Asite protocols and the agreed Information Management procedures.
- Document Controller for project drawings - including QA checking, distributing in accordance with project distribution matrices.
- Ensure that Site Teams can access all relevant information on Asite.
- In specific instances maintain a hard copy of site drawings for use by the Site Team.
- Ensure that Site Teams understand the requirements to upload all information to Asite and are suitably trained to carry out this task.
- Liaise with design teams to efficiently resolve any issues identified at QA check stage.
- Where Cruden Building are appointed as Principal Designer, control and maintenance of the Health & Safety File.
- Preparation of all necessary documentation for incorporation into the Operation & Maintenance Manuals at Project Completion.
- Assist, when necessary, site management with the site correspondence, filing, etc.
- Visit each relevant site on a regular basis to monitor compliance with Asite procedures.
- Upload required completion documentation to the building Control portal as required by site teams.
- Upload, where appropriate, Structural Warranty (e.g. Premier Guarantee) information to the appropriate portal.
- All other admin duties where appropriate - including cover for Cruden House (South Gyle office) when required.

**QUALIFICATIONS/RELEVANT EXPERIENCE REQUIRED**
- Experience in a similar role, ideally within the construction industry
- Previous experience of document management/archiving systems and quality control
- Working understanding of Asite, or similar
- Excellent communication skills with the ability to liaise effectively with both clients and staff
- Good level of computer literacy
- Self-driven and results-oriented with a positive outlook
- Analytical & problem-solving skills
- Ability to work on own initiative
