Job Purpose
We are looking for an experienced Staffing Coordinator with all round exceptional administrative skills with a great personality and a dynamic professional and positive attitude to deliver an outstanding service to our team and our clients. You will act as the ‘face’ of our company and be the first point of call for our clients and their families. Our office is extremely busy and energetic - no two days are the same You will be proactive and have excellent organisational skills to manage your time and workload and be passionate to make a difference.

The main purpose of the job is to ensure the smooth running of all administration for the Company along with day-to-day operations for the business and to ensure effective support is in place for all staff. Your ability to complete tasks to specific deadlines will be paramount.

It is essential that you can build up excellent relationships with staff, clients and their families as well as outside agencies to enhance your knowledge and enable you to continuously problem solve. Key Responsibility: Scheduling
Problem solving, with a keen eye for detail are essential for this position. You will play a pivotal role within the company ensuring we have maximum cover with staff for our clients and their families.

As well as having one key responsibility you will be expected to be cross skilled to cover absence and the demands of the business in other areas of the admin team including HR and recruitment.

**Service Delivery**
- To develop and ensure the effective maintenance of electronic and manual filing and record keeping systems
- To answer the telephone in a professional and courteous manner
- Provide full administrative duties across all areas for the company
- To be supportive of incoming enquiries, including taking independent action where appropriate to resolve administrative matters and those not requiring specialist expertise
- To ensure the courteous, effective and efficient organisation of and support to visitors
- Carry out health and safety checks within the office environment
- Maintain supplies of stationery and equipment
- To prepare adequately in advance of meetings e.g. typing agendas, and taking minutes
- To support the Service Manager with recruitment for the company
- Preparing in advance recruitment packs/online options to send to applicants
- Participating in shortlisting and interviewing of new staff
- Assisting with completing mandatory checks for new staff such as DBS, references and medicals and checking Right to Work for all staff
- Assist in the preparation of employment contracts, job descriptions and person specifications
- Authorise staff time sheets
- Schedule and allocate community staff to various packages of care ensuring maximum hours of care are delivered
- Monitor, authorise and record annual leave requests
- To populate trackers to ensure management information is accessible and accurate
- To take personal responsibility for ensuring the resolution of a wide range of enquiries including those from external sources in a timely manner
- To assist with diary management ensuring liaison with all relevant parties to organise meetings and schedules effectively
- To identify and filter relevant tenders and to notify the Registered Manager and Head of Care of any opportunities
- Responsible for the creation of social media posts
- Contribute to marketing the Company
- Assist the Clinical team with ad-hoc admin requests
- To be part of the out of hours on-call service team on a rota basis

Quality
- As a Staffing Coordinator you will be handling confidential and sensitive information, this information must be kept confidential at all times
- Achieves quality assurance by contributing information and support to complete audits to CQC standards
- To act as an ambassador for NurtureCare, upholding and promoting our corporate values
- To comply with NurtureCare’s information governance policy as well as ensuring a clean and tidy desk policy and sensitive/confidential information is kept secure
- To ensure all NurtureCare materials adhere to brand guidelines
- Represent NurtureCare in a polite, professional manner, ensuring all onsite visitors and incoming calls are managed to the highest possible standard
