An exciting opportunity for a Receptionist has arisen at our Newlands House, Normanton site. This role will involve some administration duties.

**WHAT WILL I BE DOING?**

You will be required to co-ordinate all administration and operational procedures related to the day-to-day management of the reception area at Normanton Distribution Centre as well as providing Administration support to the Operations management team. Duties will include:

- Answering the telephone in a clear, positive, and professional manner to ensure good customer care of all enquiries.
- Greeting all visitors and members of staff in a professional, enthusiastic, and welcoming manner.
- Deliver high levels of customer care and service delivery.
- Monitoring usage of the meeting rooms and reception area.
- Be fully conversant with all emergency procedures and take responsibility for the speedy and effective evaluation of the facility in the event of an alarm activation requiring such action.
- Ensure that the Reception Areas are maintained in a clean, tidy, and safe condition at all times, thus projecting a professional image.
- Maintain security for the building by providing passes to visitors and oversee that visitors sign in and out as well as providing directions when necessary.
- Notifying appropriate people that a visitor has arrived to see them.
- Manage the staff sales process, including card payment processing.
- Manage outgoing and incoming courier deliveries and the distribution of post around the site.
- Handling correspondence, managing diaries, scheduling appointments, and organising meetings.
- Booking and arranging travel, transport, and accommodation.
- To facilitate meetings, arranging refreshments and catering.
- Various ad hoc requests.

**WHAT ARE WE LOOKING FOR?**
- Customer service and care skills
- Experience of customer service and working on a reception desk
- Proficient in Microsoft Office (Outlook, Word, and Excel)
- Strong communication and organisation skills
- The ability to prioritise and multitask efficiently
- Excellent attention to detail
- Discretion and trustworthiness
- Prior work experience in a customer facing or similar administrative support role is an advantage
- Experience of Avaya telephone systems is desirable
